Description

Perth Children’s Hospital Foundation exists to make a life-changing difference for the children of WA. We’re looking for a highly organised and proactive Executive Assistant to support our CEO and Board on a 12 month maximum-term parental leave contract. 

You’ll keep the executive office running smoothly, managing the CEO’s diary and correspondence, coordinating meetings, and delivering high-quality secretariat support to the Board and its Committees. As a professional first point of contact for internal and external stakeholders, you’ll play a key part in the effectiveness of our leadership team.

 

Responsibilities:

Executive support

  • Manage the CEO’s diary, scheduling appointments and coordinating meetings
  • Prepare, format and proofread correspondence, emails and documents for the CEO’s review
  • Act as a point of contact for internal and external stakeholders, responding to and directing enquiries as appropriate
  • Coordinate travel, expenses and other administrative arrangements for the CEO
  • Maintain accurate digital and hard copy filing systems and records
  • Ad-hoc responsibilities and projects as directed by the CEO

Board support

  • Work with the CEO and CFO/Company Secretary to prepare and distribute high quality, timely Board and Committee agendas, papers and packs
  • Coordinate and attend Board and Committee meetings, recording minutes and preparing them for review and approval
  • Maintain a register of action items and follow-ups
  • Manage the Board portal so all information, correspondence and schedules are accurate and up to date

What you’ll bring:

  • Proven experience as an Executive Assistant or in a similar senior administrative role, ideally within the not-for-profit sector
  • Experience providing Board or Committee secretariat support, including minute taking
  • Strong organisational skills, with the ability to prioritise and manage multiple deadlines
  • Excellent written communication skills and a sharp eye for detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Board portal software is an advantage
  • A high level of discretion and the ability to handle confidential information
  • A proactive, collaborative approach and the confidence to work independently
