Description

The Role

Reporting to the Pathways Project Lead, the Pathways Project Coordinator – Administration, delivers national projects that strengthen entry into Para sport pathways. The role’s principal portfolio is the administration, coordination and continuous improvement of PA’s digital Para sport entry initiatives, including the Start Line and PA’s centralised expression-of-interest and referral processes.

 

The Start Line provides prospective participants with information and a mechanism to express interest in Para sport opportunities and a mechanism to submit expressions of interest. The Coordinator ensures enquiries, registrations and referrals are processed consistently, accurately and in line with national workflow requirements. The Coordinator will also maintain an online calendar of Para sport events and opportunities, working with sports and Para system partners to maintain accurate, current and accessible information.

 

In addition to this recurring portfolio, the role will deliver discrete, time-bound projects that respond to identified gaps, priorities or opportunities within the Para sport system.

 

This is a fixed-term contract role until 30 June 2028 and can be based from our Melbourne, Sydney or Brisbane office. It will require occasional interstate travel and weekend work.

 

The Person

You are a highly organised and process-driven coordinator who is comfortable managing communications, information and data across multiple initiatives and stakeholders.

 

You work in a standardised and systematic manner, using established processes and digital systems to ensure work progresses reliably from planning through to completion. You understand the importance of defined outcomes, deliverables, and deadlines and can coordinate time-bound work without necessarily having worked in a formal project management role. 

 

You communicate clearly, build constructive relationships and work collaboratively with internal teams and external partners.

 

Knowledge of Para sport, digital marketing or Para athlete pathways would be beneficial but is not essential. Most importantly, you are curious and willing to build your understanding of accessible and inclusive engagement and the broader Para sport system.

 

Responsibilities

  • Coordinate the ongoing delivery and maintenance of the Start Line, ensuring enquiries, registrations and referrals are processed consistently and efficiently.
  • Maintain accurate Salesforce records for registrations, enquiries, referrals and follow-up actions, ensuring data integrity and compliance with PA’s information-management requirements.
  • Apply and continuously improve standardised processes for enquiry handling, referral progression, case documentation and data management.
  • Facilitate administrative connections between individuals, referral networks, NSOs, SISSAS Para Units, and other system partners.
  • Prepare accurate, timely reports on registrations, enquiries, audience reach, referrals, engagement and outcomes for PA leadership and System Partners.
  • Analyse data and stakeholder feedback to identify trends, gaps and opportunities to optimise digital entry and referral processes.
  • Maintain and update PA’s calendar of Para sport events and opportunities in consultation with NSO and System Partners.
  • Manage personal and sensitive information in accordance with PA’s privacy, security and information-management requirements.
  • Delivery discrete, time-bound Para sport system projects within agreed scope, timelines and quality parameters.

Key Competencies

  • Strong organisational, administrative and communication skills with experience coordinating information across multiple stakeholders and platforms.
  • Experience coordinating enquiries or referral initiatives.
  • Experience using Salesforce or a comparable customer relationship management (CRM) system.
  • Strong attention to detail and data-management and reporting skills.
  • Understanding of the project lifecycle with the ability to translate an agreed objective into a practical delivery plan and maintain momentum through to completion.
  • Ability to develop clear, accessible and audience-appropriate communications.
  • Excellent interpersonal and relationship skills and a collaborative attribute.
  • Sound judgement when managing personal or sensitive information.
  • Interest in the Australian Sport system and Para sport athlete pathways is beneficial.

 Education and Training

  • Qualifications in sports business administration, or related discipline is preferable although not essential depending on experience.
  • Working with Children’s Check.
