Description

Summary:

We are seeking a highly organised and detail-oriented Administration Assistant to join our team. The ideal candidate will provide essential support to the CEO, and Production Team within our organisation, ensuring smooth operations and efficient workflow. This role requires excellent communication skills, a proactive approach, and the ability to handle multiple tasks simultaneously. The Administration Assistant will play a crucial role in maintaining a productive and professional work environment.

Responsibilities:

  • Perform general administrative tasks, including managing correspondence, scheduling appointments, and maintaining records.
  • Assist in organising and coordinating meetings.
  • Handle incoming calls and inquiries, providing accurate information and redirecting as necessary.
  • Maintain office supplies inventory and place orders when needed.
  • Support HR related tasks, such as onboarding new employees and maintaining employee records.
  • Collaborate with other team members to ensure efficient workflow and timely completion of projects.
  • Assist in managing travel arrangements and accommodations for staff members.
  • Uphold confidentiality and handle sensitive information with discretion.
  • Coordinate day-to-day administrative tasks including document management, scheduling, and office support.
  • Support the production team with batch preparation, label printing, and job order documentation.
  • Manage customer invoicing, ensuring timely and accurate billing through Xero.
  • Oversee accounts payable and receivable, including supplier payments and debtor follow-ups.
  • Maintain accurate records of production and financial transactions.
  • Liaise with suppliers and customers to resolve queries related to orders, payments, or deliveries.

Qualifications:

  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Proven experience as an Administration Assistant or in a similar role.
  • Proficient in using office software, including MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency in inventory management or manufacturing ERP systems
  • Experience working in a production or warehousing environment preferred.
  • Strong working knowledge of Xero or equivalent accounting software.Excellent organizational and time management skills.
  • Exceptional verbal and written communication skills.
  • Familiarity with basic HR processes and procedures is desirable.
