Role Title: Finance Administrator – AP / AR

Reporting to: Finance Controller Location: Melbourne Employment Type: Part-time (approx. 3 days per week)

Role Purpose This role is intended to bring key finance processing activities currently performed externally into the central finance function. The objective is to improve control, responsiveness and efficiency across accounts payable, accounts receivable and general finance administration, while supporting a more centralised and scalable finance model across the Group.

Importantly, this role will also act as a key enabler in lifting finance discipline across the business, including supporting the rollout of a purchase order (PO) system for non-stock expenditure and improving automation of credit card expense management.

This is a hands-on role suited to someone with strong transactional finance capability who is comfortable working across multiple entities, systems and stakeholders.

Key Responsibilities

  • Process supplier invoices across Group entities, including coding, allocation and workflow management through Traild.
  • Manage accounts payable inboxes and support timely invoice processing and payment preparation
  • Assist with accounts receivable administration, including invoice management, customer follow-up and cash allocation
  • Support bank reconciliations and routine finance administration tasks
  • Assist with month-end processing, including journals, reconciliations and supporting schedules
  • Support BAS and other routine statutory lodgement preparation, under supervision of the finance team
  • Work with internal stakeholders to improve invoice approval processes and finance workflow discipline
  • Support the rollout and ongoing management of a PO system for non-stock purchases
  • Assist in implementing and maintaining automated credit card expense management processes
  • Provide transactional finance support across both Nuchev and bWellness activities as required
  • Assist with maintaining data quality across finance systems, including Xero, Unleashed and related reporting tools
  • Contribute to process improvement and help identify opportunities to simplify and centralise finance activities

Skills and Experience

  • Experience in an accounts payable, finance administration or broader transactional finance role
  • Comfortable working across AP, AR, reconciliations and general finance administration
  • Good systems capability, ideally with exposure to Xero, Unleashed or similar platforms
  • Strong attention to detail and ability to manage workflow in a disciplined way
  • Practical, organised and comfortable working in a growing business environment
  • Able to work collaboratively with operational and commercial stakeholders
  • Experience supporting multiple entities or business units would be advantageous

Preferred Profile We are looking for someone practical and dependable who can take ownership of day-to-day finance processing while also supporting improvements in how the business manages spend and approvals. This role would suit a capable finance administrator or AP/AR officer who enjoys improving processes and working as part of a small, hands-on team.

Indicative Scope The role is expected to commence on a part-time basis at approximately 3 days per week, with scope to evolve depending on business needs and the success of the transition from external support.
