Help Keep WA Mining Shutdowns Moving

Multotec is one of Australia’s leading suppliers of mineral processing equipment and services to the mining industry.

As a result of a long-serving team member retiring after more than 20 years with the business, we are looking for someone to take ownership of a critical role supporting our WA Field Services operation. The role sits within our WA Site Services team and reports directly to the Field Services Manager.

This is not a general administration role.

You will be responsible for the quoting and invoicing of shutdowns, assist with planning and scheduling, help mobilise crews, maintain site compliance, coordinate shutdown logistics, manage workforce accreditations and ensure our service teams are ready to safely access customer sites across Western Australia. Evidence from current WA field service operations shows this function supporting mobilisation approvals, site access, accreditation management, workforce logistics and shutdown administration.

The position works closely with field supervisors, account managers, customers, contractors and service personnel to ensure field service work can be delivered safely, professionally and without avoidable delays.

What You’ll Be Doing

  • Coordinating mobilisation of employees and contractors to mine sites across WA.
  • Prepare and submit quotations for upcoming shutdowns.
  • Complete job invoicing accurately and within specified time frame.
  • Review and submit timesheets for casual employees.
  • Contribute to shutdown planning schedule.
  • Monitoring training records, medicals, licences, and accreditations using a digital compliance system.
  • Booking travel, accommodation and shutdown logistics.
  • Monitoring training records, medicals, licences and accreditations.
  • Maintaining workforce compliance requirements across multiple mining customers.
  • Supporting field service supervisors and the broader service team with day-to-day operational administration.
  • Assisting with service reporting, workforce records and documentation control.
  • Liaise with internal teams and external contractors to resolve any logistical or compliance issues promptly.
  • Liaising directly with customers regarding site access, mobilisation and workforce readiness.
  • Helping ensure crews arrive on site compliant, equipped and ready to work.

  • A high level of attention to detail.
  • Strong Microsoft Office skills.
  • The ability to work independently and take ownership of your area of responsibility.

Experience working with mine site onboarding systems, contractor management platforms and mobilisation processes will be highly regarded. The role involves supporting mining workforce access and compliance activities.
