Description

Summary:

We are seeking a dedicated Administration Assistant to support our team in Camden, New South Wales. This part-time contract role offers stability through to December 2027, with the potential to be made permanent subject to ongoing funding. The role is essential to ensuring the smooth operation of our administrative functions, contributing to the overall efficiency and effectiveness of our Therapy and Early Childhood programs. The ideal candidate will possess strong organisational and communication skills, thrive in a busy team environment, and have proven experience in rostering, scheduling, and bookkeeping. Experience managing accounts payable and receivable, invoice processing, and financial record keeping will be highly regarded. The successful applicant will be proactive, detail-oriented, and committed to providing high-quality administrative support.

Responsibilities:

  • Provide administrative support to the therapy and early childhood teams, including managing correspondence and scheduling appointments.
  • Contribute to workflow related to NDIS funding, plan set up, billing and compliance.
  • Contribute to key administrative workflow related to client appointments, attendance and payments.
  • Maintain accurate records and files, ensuring all documentation is up to date and easily accessible.
  • Handle incoming calls and enquiries, directing them to the appropriate personnel plus front of house reception responsibilities.
  • Coordinate office supplies and inventory management to ensure the office and programs run smoothly.
  • Support the organisation of meetings and events, including logistics and materials preparation.

Qualifications and Experience:

  • Proven experience in a busy administration role, or similar position (3 years plus experience).
  • Demonstrated experience with practice management software and coordinating high-volume, complex schedules.
  • Proven experience with book keeping, bank reconciliation and/or accounts payable/receivable, including using Xero software platform.
  • Strong organisational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • Attention to detail and a high level of accuracy in work.
  • Admin experience within the Allied Health, Early Childhood, Health or Disability Industries (desirable)

Key Requirements:

  • Availability to work up to 30 hours per week across 3-4 days, with start time from 7:30am.
  • Willingness to obtain a Working with Children and NDIS Worker Screening Check.
  • Full working rights.

 Remuneration and Benefits

  • This position is classified under the Clerks Award as a Level 3, with the rate of pay from $35.00 – $40.00 per hour.
  • Salary Packaging Benefits where you are able to package up to $15,900 per annum to reduce your taxable income.
