Join our dynamic Lighting Design Studio as an Office & Operations Coordinator in Byron Bay. In this role, you will manage daily operations, support the team, and ensure a smooth workflow. We are looking for a highly capable and hands-on “all-rounder”. The Office & Operations Coordinator is responsible for ensuring the smooth day-to-day running of Marz Designs. This role provides administrative, operational and office support across the business, helping the team stay organised, productive and focused on delivering exceptional design and customer experiences.

Responsibilities:

  • Coordinate daily office operations and ensure efficient workflow
  • Handle administrative and operational tasks
  • Support the design team with administrative tasks and project management
  • Answer phones
  • Manage schedules, appointments, and communications for the team
  • Book travel and organise events
  • Maintain office supplies, packaging and equipment, ensuring a well-organised workspace
  • Assist in the preparation of design presentations and client meetings
  • Implement and optimise office procedures to enhance productivity
  • Manage the office (e.g. order supplies, service coffee machine, coordinate cleaner etc)
  • Coordinate new employee onboarding
  • Update the website and Cin7 using existing processes
  • Liaise with suppliers and contractors as required
  • Administrative & team support, such as update Shopify website, including product uploads, content updates, and collection management
  • Office management & basic operations support
  • Managing company subscriptions and service providers
  • Solve day-to-day issues independently

Qualifications:

  • Bachelor’s degree in Business Administration, Design, or a related field
  • Proven experience in office management or operations coordination
  • Strong organisational and multitasking skills, detail-oriented and highly reliable
  • Has excellent communication skills and enjoys building positive relationships with colleagues, suppliers and customers
  • Proficiency in Microsoft Office Suite and project management software
  • Ability to work independently and as part of a team in a fast-paced environment
  • Is confident learning and using a range of digital platforms and systems (such as Shopify, Cin7, Google Workspace and Microsoft Office)
  • Experience with Shopify preferred but not essential; training provided
  • Experience with inventory or ERP systems (Cin7 or similar) is advantageous, but not essential; on-the-job training provided
  • Takes initiative and enjoys finding practical solutions to everyday challenges
  • Enjoys creating order from complexity and improving the way things are done
  • Has a positive, adaptable attitude and is happy to roll up their sleeves to help wherever needed
  • Comfort working in a fast-paced, output-driven environment where responsiveness and momentum are essential
  • A passion for design and creativity is highly desirable

    Studio

    • This is a part-time position (3-4 days) based in Byron Bay, Australia
    • The role requires you to be in the office 3 to 4 days a week
    • Studio hours are Monday – Friday from 9 am to 5.30 pm
