The Role
We are currently looking for a proactive and experienced property administrator to join our Commercial Sales team as a Team Administrator. The role will be hands on and be an integral part of one of our most successful teams. You will be the go to person for all things admin, systems and process related in the team so it’s a busy role with lots of variety.
Based in our beautiful new office in Wollongong CBD full time, this is a great Team Administration role for an experienced team admin who has a track record of proactively supporting sales agents and keeping them and the admin side of things on track, whilst also innovating in terms of systems and processes. An understanding of the new AML and CTF legislation and requirements is also going to be vital for this role. Reporting in to the Department Manager key responsibilities include:
- Assist the Commercial Sales Agents with day to day administrative tasks
- Prepare appraisals, agency agreements, sales advice, contracts and vendor reports
- Undertake all Commercial Sales AML and CTF compliance activities for the team with support from the Compliance & Training Executive for more complex cases
- Keep the sales database up to date and accurate
- Manage incoming correspondence and enquires professionally and promptly.
- Ensure all relevant materials including brochures are prepared, printed ready for any meetings
- Action listing requirements with marketing and launch on the set date on all necessary platforms and media outlets.
- Review, update or set up document templates for the team
- Prepare daily and weekly action tasks for the Sales Agents, and update activity reports
- Run Commercial Sales team meetings taking minutes and communicating actions required
- Help coordinate any events held by Commercial Sales
- Back up Trust Accounting if required
About You
You are an experienced administrator with real estate experience, either residential or commercial. At a minimum you will have your Certificate of Registration and be very comfortable with all the legislative and compliance aspects of property transactions. You will love supporting others whilst ensuring efficient processes and procedures are in place to maximise efficiency. To be successful in this role, you will also have the following:
- Significant team administration experience
- Excellent communication skills, both written and verbal
- Exceptional organisational and time management skills with the ability to get and keep sales agents on track
- An understanding of AML and CTF requirements as it relates to property sales
- Expertise across the full Microsoft suite of applications including Excel, Teams, Word and Outlook
- A Certificate of Registration
