Location: Melbourne/NSW Support Office / Hybrid (with travel as required)

About the role:

The Retail Operations Coordinator is a support role within the Retail Operations team, providing coordination and administrative support with a primary focus on Visual Merchandising and additional support for Store Development projects.

The role supports the planning and execution of visual merchandising campaigns, signage, planograms, store communications and associated operational activity across the store network.

During new store openings, relocations and refits, the role will also provide coordination and hands-on support to Store Development, helping ensure stores are set up, trained and operationally ready for trade.

The role requires strong organisation, attention to detail, effective communication and the ability to manage competing priorities while working collaboratively with stores, Area Managers, suppliers and Support Office teams.

Key Responsibilities:

1. Visual Merchandising

  • Coordinate the production and distribution of VM signage, POS and campaign materials.
  • Support the rollout of seasonal campaigns, promotions and visual merchandising programs.
  • Assist with planogram updates and associated store communications.
  • Coordinate VM props and display assets across the store network.
  • Follow up with Store Managers and Area Managers to support completion of VM activity within agreed timelines.
  • Maintain VM resources, guides and operational documentation.
  • Provide administrative and coordination support for VM initiatives and ad hoc requests.
  • Support the wider Retail Operations team with administration as required.

2. Store Development

  • Support the coordination of new store openings, relocations and refits.
  • Assist with on-site store set-up where required.
  • Coordinate signage, props, fixtures and merchandising materials required for store development projects.
  • Prepare and distribute store-opening packs and operational resources.
  • Support coordination of new-store training and deliver operational systems training where required.
  • Liaise with suppliers and internal stakeholders to support agreed store-opening timelines.
  • Provide post-opening support to help ensure stores are operationally ready and issues are followed through to resolution.

 3. Communication & Collaboration

  • Build effective working relationships with key stakeholders across retail, support and NDC teams
  • Act as a key coordination point for VM and Store Development activities.
  • Ensure relevant communication, instructions and resources are clear, accurate & distributed on time.
  • Follow up agreed actions and escalate issues or risks where required.
  • Work collaboratively across Retail Operations while maintaining clear ownership of assigned tasks and deadlines.

4. Systems & Administration

  • Maintain accurate project, campaign and operational information within relevant systems and shared resources.
  • Use Google Workspace, Asana, NetSuite and other business systems as required.
  • Support reporting, documentation and general administration across Retail Operations.
  • Develop capability in relevant space-planning software where required.

5. Store & Project Support

  • Travel to stores from time to time to support new openings, relocations, refits, VM activity and other Retail Operations projects.
  • Provide practical support during store set-up and operational-readiness activity.
  • Work flexibly according to project requirements and store-opening deadlines.

About You:

To be successful in the role, you will have:

  • Previous experience in a retail environment, ideally with exposure to visual merchandising, store operations, retail administration or a retail support role.
  • Strong organisation and coordination skills, with the ability to manage multiple activities, deadlines and changing priorities.
  • Excellent attention to detail, particularly when coordinating signage, promotional materials, planograms, store communications and project documentation.
  • Strong written and verbal communication skills, with the confidence to work effectively with Store Managers, Area Managers, Support Office teams and external suppliers.
  • A proactive approach to following up actions and taking ownership through to completion.
  • The ability to work collaboratively across different areas of the Retail Operations team while maintaining clear accountability for assigned work.
  • Confidence using Google Workspace, Asana and NetSuite, or the ability to quickly develop capability in relevant business systems.
  • The ability and willingness to provide hands-on support in stores, particularly during new store openings, relocations and refits.
  • Flexibility to travel as required to support store openings and Retail Operations projects.
  • A willingness to learn and develop capability across both Visual Merchandising and Store Development.
  • Experience with space-planning software and/or a Forklift Licence would be advantageous but is not essential.
