Office Administrator/Receptionist (Part-Time Fixed-Term Contract)

We are seeking an experienced and professional Office Administrator/Receptionist to join our team on a part-time fixed-term contract.

Reporting to the Executive Assistant, this is a varied and hands-on role that supports the day-to-day running of our Macquarie Park office. You’ll work closely with teams across the business to ensure our workplace remains organised, efficient and welcoming, while providing administrative support across a range of office, facilities and employee-related activities.

Key Responsibilities

  • Manage in-coming calls, shared inboxes and visitor enquiries.
  • Coordinate meeting rooms and maintain professional office, kitchen and shared spaces.
  • Manage office supplies, mail, couriers and vendor relationships.
  • Coordinate facilities maintenance and workplace services.
  • Assist with internal and external events, meetings and catering.
  • Support workplace health and safety initiatives and office compliance requirements.

About You

To be successful in this role, you will have:

  • Previous experience in an office administration, reception or workplace coordination role.
  • Strong customer service and communication skills.
  • Proactive and adaptable, with the ability to respond positively to change and manage shifting priorities in a dynamic environment.  
  • Excellent organisational skills with the ability to manage competing priorities.
  • High attention to detail and a proactive, solutions-focused approach.
  • Proficiency in Microsoft Office and general office systems.
  • The ability to handle confidential information with discretion and professionalism.

Experience within the pharmaceutical, healthcare or another regulated industry will be highly regarded, as will experience coordinating events or supporting workplace health and safety initiatives.
