About the Role
As our People & Culture Officer, you’ll coordinate the administration that supports our employees throughout their time with Job Pathways. This includes onboarding, employment documentation, employee records, training follow-up and offboarding.
Working closely with the People & Culture Manager and Coordinator, you’ll manage your day-to-day responsibilities independently, keep competing priorities on track and proactively follow up outstanding actions. You’ll need to be comfortable handling sensitive information, communicating with employees and managers across different locations, and recognising when a matter requires further guidance.
Key Responsibilities
- Coordinate employee onboarding: Manage new starter paperwork, communication and commencement arrangements, ensuring required documents and preparations are completed on time.
- Organise first-day readiness: Liaise with managers, IT and other teams to coordinate system access, equipment, uniforms and other requirements.
- Maintain accurate employee records: Prepare routine employment documentation using approved templates and keep personnel files, systems and registers complete and current.
- Monitor and follow up requirements: Track outstanding documents, licences, checks, training and routine employee forms, addressing delays and escalating concerns appropriately.
- Coordinate employee departures: Manage offboarding administration, including exit checklists, equipment returns, access removal and communication with payroll and other internal teams.
- Provide professional support: Respond to routine employee and manager enquiries, prepare clear correspondence and communicate administrative requirements effectively.
- Handle confidential information: Exercise discretion and sound judgement when managing sensitive records and correspondence, and refer complex or sensitive employee matters to the appropriate team member.
- Support efficient processes: Assist with reporting, scheduling, meetings and general administration, and identify practical opportunities to improve how work is completed.
- Work with cultural awareness: Build respectful working relationships and demonstrate culturally responsive practices when supporting Aboriginal employees and our regional teams.
Qualifications & Experience
We’re looking for someone who brings:
- Proven administration experience, with the ability to coordinate multiple tasks, meet deadlines and maintain high standards of accuracy.
- The ability to work autonomously, organise their own workload, use initiative and follow through without close supervision.
- Experience handling confidential and sensitive matters, with demonstrated discretion, professionalism and sound judgement.
- Strong computer skills, including Microsoft 365, document preparation, spreadsheets, electronic records and confidence working across multiple systems.
- Excellent verbal and written communication skills, including the ability to prepare clear, accurate correspondence and communicate professionally with employees and managers.
- Strong attention to detail, particularly when checking documents, entering information and maintaining records.
- Practical problem-solving skills, with the confidence to resolve routine administrative issues and seek guidance when needed.
- A respectful and culturally responsive approach to working with Aboriginal people and colleagues from different backgrounds.
What You’ll Need
- A current C Class driver’s licence.
- A Western Australian Working with Children Check and NDIS Worker Screening Check, or willingness to obtain the required checks.
- A National Police Certificate issued within the last 6 months, or willingness to obtain a new one.
Why Join Job Pathways?
- A small, supportive team: Work closely with colleagues who value collaboration, clear communication and the experience you bring.
- Autonomy and responsibility: Take ownership of a varied administration role, with guidance and support available when needed.
- Career development: Expand your knowledge of Human Resources/People & Culture and develop your skills through practical experience with the option to pursue formal study if interested.
- Meaningful work: Support the employees delivering services and employment opportunities across our communities.
