Ready for your next challenge? We’re looking for an experienced Office and Facilities Manager to lead the way and oversee the management and maintenance of the firm’s premises and office operations including the management of our Office Services team.
The key responsibilities of the position include:
- Overseeing the timely, cost-effective management, maintenance and improvements of Jackson McDonald spaces including furniture, fittings, utility services, assets and infrastructure.
- Managing the day-to-day office operations including managing reception, meeting rooms and kitchen/catering areas.
- Management of onsite and offsite storage, records and documents which includes matter file closures, facilitating archiving records, and supervising the Safe Custody records document management.
- Ensuring the office and facilities meets the required compliance obligations including lease, fire safety, first aid and security.
- Budgetary and financial management of the function including assisting with budget preparation, monitoring spending, ensuring accurate invoice processing, reviewing quotes and estimates.
- Monitoring and managing staff performance and coordinating resources to effectively manage the daily operations of the team.
- Liaising with building and facilities management, contractors, and service suppliers, and managing supplier contracts.
The successful candidate will have:
- Demonstrated knowledge and experience in office and facilities management;
- Demonstrated knowledge and experience in project management;
- Ideally at least 3 years’ experience in a similar environment (preferably professional services);
- Excellent interpersonal skills, including the ability to be flexible and highly adaptable;
- Strong ability to prioritise and multitask whilst working under pressure;
- High energy, enthusiasm, and a proactive approach to problem-solving;
- Excellent attention to detail, strong organisational skills, and initiative; and
- Excellent written and verbal communication skills.
