Description

Project Support Officer

  • Location: Melbourne, Sydney or Canberra with hybrid work arrangements
  • Employment Type: Full-time, fixed-term contract to 30 June 2028
  • Salary: $75,000 – $90,000 per annum plus superannuation, depending on experience

Role Summary:

Reporting to the Executive Director – Maritime, the Project Support Officer provides key project support services aimed at improving Australia’s maritime skills training system. The role supports multiple industry-led initiatives in line with the Maritime Industry Workforce Plan.

This is an excellent opportunity for an individual who enjoys working in a fast-paced environment, managing multiple priorities, and collaborating with industry, government and training stakeholders to deliver meaningful outcomes.

Key Responsibilities

Project and administration support:

  • Supporting the preparation and review of Vocational Education and Training related documentation for stakeholder engagement and government submission. This includes policy issues and options papers, stakeholder engagement summaries and project research reports.
  • Preparing stakeholder engagement materials, capturing project evidence and synthesising advice received through stakeholder engagement.
  • Supporting research initiatives to inform the maritime program.
  • Assisting with preparation of external communications
  • Administering the SharePoint and Get Early project sites, including user support, and file management.
  • Maintaining databases, registers, and system information as required.
  • Supporting development and maintenance of operational procedures and templates.

Training Package development support

  • Logistics and administrative support tor Technical Committee meetings, including preparation of required documentation and minute taking.
  • Supporting the Quality Assurance (QA) of products.
  • Assisting in the publication of approved Training Package products.

Secretariat Services

  • Managing all meeting logistics, document preparation and management.
  • Providing communications and technical support to meeting attendees.
  • Managing correspondence and maintaining records.

Events support

  • Provide administrative and coordination support for events and ISA attendees, including Industry Roundtables, project/program launches, Supply Chain Leaders’ Summit, and Regional Fora.

Essential Skills and Experience:

  • Relevant qualifications or experience in logistics, supply chain management, or a related field.
  • Minimum of 2 years in a project administrator or project support role.
  • Demonstrated secretariat or stakeholder engagement skills.
  • Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint and data and file management skills (SharePoint, Get Early, Borealis).
  • Strong organisational skills with the ability to manage multiple tasks effectively.
  • Excellent verbal and written communication skills.
