HDS is one of Australia’s fastest-growing cold storage logistics providers, operating depots nationally and supporting major retail and consumer brands across the country. We’re looking for an organised and proactive Operations Administrator to join our Ravenhall depot team on a casual basis.

The Opportunity:

This is a fast-paced, people-focused role that sits at the heart of our depot’s daily workforce operations. You’ll work closely with both the People & Culture and Operations teams to ensure shifts are staffed, attendance is confirmed, and any gaps are filled quickly and efficiently. Key Responsibilities:

  • Contact employees ahead of upcoming shifts to confirm attendance and ensure the depot is appropriately staffed
  • Proactively identify and fill shift vacancies by sourcing available HDS employees first before escalating to agency
  • Liaise directly with the labour hire agency to fill last-minute shift vacancies quickly and accurately
  • Assist the operations team with timesheet processing, ensuring hours are recorded accurately and submitted on time
  • Use the depot’s workforce management system to support scheduling, attendance tracking, and related administrative tasks
  • Support the preparation of operational reports and provide general administration assistance to the depot team as required
  • Maintain accurate records and ensure information is communicated clearly and promptly across the team
  • Provide general administration support as required

You’ll Bring:

  • Strong communication and people skills – you’ll be on the phone regularly and need to get answers quickly
  • Excellent organisation and the ability to manage competing priorities in a fast-paced, time-sensitive environment
  • Previous administration experience, ideally within logistics, transport, or a similar operational environment
  • Comfortable working with workforce scheduling or rostering – experience with labour hire or agency coordination is a plus
  • Proficient in Microsoft Office, particularly Excel and Outlook, and comfortable picking up new systems
  • High attention to detail with a proactive, can-do approach – you act before being asked and follow through
