Workshop Administration Coordinator

 Park Ridge, QLD 4125  Full-Time | Immediate Start | Monday to Friday (7:00am – 4:00pm)

 

About Us

Harvey’s Mechanical and Welding is a busy and growing workshop providing quality mechanical and welding services to our customers. We are looking for a friendly, organised, and proactive Workshop Service Advisor & Administrator to become the key link between our customers, mechanics, and day-to-day workshop operations.

This is a varied role that combines customer service, workshop coordination, administration, and service advising. You’ll be the first point of contact for customers while helping ensure the workshop runs efficiently and professionally.

 

Key Responsibilities

  • Welcome customers and manage front-of-house enquiries
  • Answer phone calls, emails, and customer enquiries professionally
  • Schedule bookings and coordinate workshop jobs
  • Prepare estimates and quotes
  • Keep customers updated on vehicle repairs and maintenance work
  • Order parts through supplier portals and systems
  • Coordinate communication between customers and mechanics
  • Manage invoices, payments, and workshop records
  • Maintain accurate customer and job information
  • Perform data entry, filing, and general administrative duties
  • Ensure the reception and office areas remain organised and professional
  • Support the day-to-day operations of the workshop

Skills & Experience

Essential:

  • Previous administration, reception, or customer service experience
  • Experience working as Workshop Administrator.
  • Strong verbal and written communication skills
  • Excellent computer skills and experience using Outlook
  • Ability to manage multiple tasks and deadlines
  • Strong organisational and problem-solving skills

 

Highly Regarded:

  • Experience in an automotive, mechanical, transport, or trade-based environment
  • Previous Service Advisor experience
  • Knowledge of workshop management software
  • Light Vehicle Mechanical qualification
  • TMR/ICO licence
  • Parts interpreting experience
