About the Opportunity
We are seeking an experienced and forward-thinking Executive Officer to work closely with our CEO and provide coordinated support across the Hampshire Villages senior leadership team.
This is more than a traditional PA or EA position. The role combines high-level executive support with leadership coordination, governance, project delivery and business improvement. You will help the CEO and leadership team stay focused on the priorities that matter, ensure decisions and actions are followed through, and improve the flow of information between our head office functions and geographically dispersed village operations.
You will also play an important role in identifying opportunities to use approved AI, automation and digital workflows to simplify processes, improve executive support and strengthen decision-making.
This opportunity will suit an experienced executive support professional, Executive Officer, or senior business support professional who enjoys bringing structure to complexity and wants to make a broader contribution to how a growing organisation operates.
What You’ll Be Doing
Working directly with the CEO and collaboratively across the leadership team, you will:
- Provide high-level executive support to the CEO and coordinated support across the senior leadership team
- Manage agreed diaries, inboxes, correspondence, travel and competing executive priorities
- Prepare concise, decision-ready reports, presentations, briefings and executive communications
- Coordinate leadership meetings and offsites, including agendas, pre-reads, meeting documentation and follow-up
- Maintain clear decision and action registers, track owners and due dates, and escalate risks or delays early and translate these priorities into coordinated actions and progress visibility.
- Support business planning, reporting and approved projects across Hampshire Villages
- Act as a trusted coordination point between the Villages business, village operations, Shared Services and external stakeholders and maintain strict confidentiality.
- Help ensure the right stakeholders and functional experts are involved before decisions or commitments are made
- Identify inefficient or repetitive processes and explore practical opportunities for improvement, such as map workflows and business requirements, coordinate testing and help implement approved AI, automation and digital solutions
- Document new ways of working and monitor whether improvements deliver the intended result
About You
You are highly organised and detail-focused, but you also see the bigger picture. You understand that excellent executive support is not simply about managing a calendar. It is about creating clarity, protecting leadership capacity and ensuring priorities are converted into action.
You will bring:
- 5 years + experience providing high-level support to a CEO, senior executive or executive leadership team in a complex environment
- Strong experience managing complex diaries, inboxes, competing priorities, travel and confidential matters
- Experience coordinating leadership governance, including agendas, pre-reads, executive papers, decision records and action follow-through
- Strong project coordination skills, with the ability to manage multiple owners, deadlines, risks and dependencies
- The confidence to respectfully challenge, clarify or pause activity when priorities, impacts or approvals are unclear
- Excellent written and verbal communication skills, including the ability to create concise executive reports, presentations and communications
- Highly developed stakeholder-management skills and the ability to work across operational and corporate teams
- An enterprise mindset, with the judgement to balance the needs of the CEO, the Villages business and the wider Hampshire Group
- Advanced Microsoft 365 capability
- Practical experience using AI, automation or digital workflow tools to improve efficiency and ways of working
- The ability to assess AI-generated outputs critically and apply appropriate human judgement and oversight
- Experience preparing executive or Board papers and presentations.
Experience supporting a multi-site property, land lease, retirement living, accommodation or similarly dispersed operational business would be highly regarded but is not essential.
