The Role: Training Administrator

Training Administrators are responsible for the accurate administration, compliance processing, and support training services. The role ensures enrolments, records, course setup, courseware, and regulatory reporting are completed accurately and on time, supporting compliant training delivery across the organisation. Training Administrators work collaboratively across Customer Success teams to maintain data integrity, regulatory compliance, and efficient operational processes, enabling Training Coordinators and Student Services to deliver high-quality training outcomes.

Training Administrators are detail-driven, compliance-focused, and process-led, providing critical operational support to Training Coordinators and Student Services (Admin).

This role is a Training Administration role and works within the Customer Success team and is a vital link between our scheduling team and Administration team

What You’ll Do:

  • Responsibilities include but not limited to
  • Coordinate the administration of Training Courses including

– Pre-attendance sheets entered in SMS

– Pre-course checklist completed

– Participant reminders sent: Prerequisites, Pre-learning, Attendance confirmations

– Course materials reviewed, ordered, printed (HSR / AIIMS / Comcare)

– Learning Plans, Assessments & Onboarding assigned to courses

– WorkSafe pre-course notifications

  • Processing courses and Issuing certificates
  • Data Management: Keep track of course details and ensure everything’s RTO-compliant.
  • Email & Call Support: Answer calls and emails like a pro—quick and friendly!
  • Training Logistics: Manage resources, venues, and equipment for training days.
  • Be the Problem Solver: Things get busy, but you thrive under pressure!
  • Support the Training Coordinators and Admin team during peak periods

What We’re Looking For:

  • Great Communicator: You love talking to people and can handle multiple stakeholders.
  • Admin Pro: At least 2 years of admin experience—preferably in an RTO.
  • Tech-Savvy: You’re comfortable with Microsoft Office and student management systems.
  • Organised & Reliable: You manage your time like a superhero and never miss a deadline.
  • Positive Attitude: You’re upbeat, ready to take on challenges, and make clients feel great!
  • Confidential & Compliant: You understand the importance of privacy and following compliance standards.
