About the Role

As a Business Support Officer with EP Youth in Mackay, you’ll play an important role in supporting the day to day administration, compliance and operational coordination of our Child Safety services.

Working closely with the Area Manager, and broader operational team, you’ll provide high quality administrative and secretarial support that helps our services run efficiently and ensures important documentation, compliance requirements and business processes stay on track.

You’ll support recruitment and onboarding, maintain records and compliance documentation, coordinate meetings and communications, assist with financial administration, and help managers stay organised across competing operational priorities.

This is a hands on support role suited to someone who is highly organised, confident working with systems and documentation, and comfortable managing sensitive and confidential information in a busy environment.

Enabling Pathways is a not for profit organisation delivering trauma informed residential care and outreach services to young people across Queensland.

Through our EP Youth division, we support Children and Young People who have experienced trauma, abuse or neglect. Our approach brings together developmental understanding, therapeutic support and cultural awareness to create safe and nurturing environments where young people can recover, develop and work towards positive outcomes.

As we continue to grow our services in Mackay, you’ll support the systems, processes and people behind our frontline services and help ensure our teams have the administrative and operational support they need to deliver consistent, high quality care.

Key Responsibilities

• Provide high quality administrative and secretarial support to the Area Manager, Executive Manager of EP Youth and other leaders as required.

• Act as a point of contact for Child Safety management, responding to or directing incoming communications and enquiries appropriately.

• Manage calendars, appointments, meetings, schedules and travel arrangements as required.

• Monitor, organise and respond to emails and correspondence to support effective communication and time management.

• Prepare correspondence, reports, presentations, meeting materials and other documentation.

• Attend meetings where required, take accurate minutes and coordinate follow up actions.

• Maintain accurate and up to date records, files, registers and databases in accordance with privacy and confidentiality requirements.

• Support the monitoring and maintenance of employee compliance and probity documentation.

• Identify missing, expired or outstanding compliance requirements and follow up with employees, candidates and managers where required.

• Support recruitment, onboarding and induction processes, including coordinating documentation, compliance checks, interviews and commencement activities.

• Maintain accurate recruitment, onboarding and employee compliance records.

• Use company systems and software efficiently to support administrative and operational processes.

• Upload and manage financial receipts, invoices and related documentation.

• Support managers with financial and operational administration as required.

• Assist with organising meetings, workshops, team activities and other operational requirements.

• Liaise professionally with internal teams, external stakeholders, suppliers, community organisations and government agencies where required.

• Maintain strict confidentiality when managing sensitive employee, Child Safety and organisational information.

• Identify administrative, compliance or operational issues and escalate them appropriately before they impact service delivery.

• Record and report incidents, accidents, hazards and Workplace Health and Safety matters in accordance with organisational procedures.

• Participate in workplace risk management processes and comply with all Workplace Health and Safety requirements.

• Support the delivery of a safe, respectful, supportive and inclusive environment for Children and Young People in accordance with organisational policies and Child Safety standards.

Skills & Experience

Experience

• Previous experience in administration, business support, secretarial support, operations or a similar office based role.

• Experience coordinating records, documentation, schedules, meetings and competing administrative priorities.

• Experience handling confidential and sensitive information appropriately.

• Experience supporting recruitment, onboarding, employee administration or compliance processes is highly regarded.

• Experience working in a regulated or service based environment such as Child Safety, community services, health, is desirable but not essential.

• Experience using business systems and maintaining accurate electronic records and documentation.

Skills

• Strong administrative and organisational skills with the ability to manage multiple priorities.

• Excellent attention to detail and a high level of accuracy when managing records, documentation and data.

• Strong written and verbal communication skills.

• High level computer literacy and confidence using Microsoft Office and organisational systems.

Mandatory Requirements

Successful candidates will be required to meet and provide evidence of the following as part of our recruitment and compliance process:

Work Eligibility: Proof of Australian citizenship through a passport, birth certificate or citizenship certificate. Applicants on a visa must provide both their passport and current visa documentation.

QLD Open Driver’s Licence: Current and valid licence. A copy of the front and back will be required.

Traffic History Report: Covering the previous five years and issued within the last six months.

QLD Working with Children Blue Card: Current paid Blue Card.

Child Safety and Personal History Screening (LCS2): Completed as required.

National Australian Police Check: Issued within the last six months.

First Aid and CPR: Current nationally recognised First Aid (HLTAID011) and CPR (HLTAID009) certificates.

Infection Prevention and Control Training: The Basics of Infection Prevention and Control training, or equivalent acceptable training.
