This varied role coordinates community programs and events across metropolitan, regional and rural Victoria. You will manage event planning, administration, logistics, stakeholder relationships, technology and evaluation to support effective and accessible event delivery.

Reporting to the Marketing and Events Lead, you will join the Marketing, Communications and Development team and work collaboratively with stakeholders across Diabetes Victoria.

Key Responsibilities:

  • Coordinate the planning, administration, logistics, delivery and post-event review of in-person, online and hybrid events across metropolitan, regional and rural Victoria.
  • Respond to event enquiries and maintain productive relationships with attendees, community members, venues, suppliers and other stakeholders.
  • Collaborate with internal teams to ensure events are promoted effectively, reflect Diabetes Victoria’s brand and key messages, and reach the widest possible audience.
  • Provide advice and practical support on webinar platforms and other event technology, while identifying opportunities to improve systems and processes.
  • Maintain the Master Events Calendar, event records, and relevant policies, procedures and supporting documentation.
  • Provide administrative support for events, committees and application processes, including preparing correspondence and formatting promotional materials.
  • Collect and analyse participant feedback and event data, prepare evaluation and activity reports, and recommend improvements for future programs and events.

ABOUT YOU

You are a capable and collaborative events professional who can manage competing priorities while maintaining excellent attention to detail. You are comfortable coordinating both face-to-face and digital events and enjoy finding practical solutions when plans or technology change.

  • Experience planning, coordinating logistics, delivering and reviewing online, face-to-face and hybrid events.
  • Confidence using webinar platforms and event technology, along with intermediate Microsoft Office and database-management skills.
  • Strong organisational, time-management and administrative skills, with excellent attention to detail.
  • The ability to manage competing deadlines, solve problems and use initiative in a fast-paced environment.
  • Strong written, verbal and presentation skills, with experience managing relationships with stakeholders and suppliers.
  • Experience in program evaluation and continuous improvement, together with an understanding of culturally diverse communities and health promotion.
  • Excellent interpersonal skills, with the ability to connect and communicate effectively with people from diverse backgrounds, roles and experiences.

The successful candidate will be required to complete a current Victorian Police Check and Working with Children Check, hold a valid driver’s licence, and be able to travel throughout Victoria, with the occasional overnight stay.
