About the Role We are seeking an experienced and highly organised Administration Supervisor to take ownership of our administration function at our Parramatta office. This is a hands-on role suited to someone who enjoys being involved in the day-to-day administration of a busy business while also taking responsibility for improving systems, establishing processes and supporting operational teams. As the business continues to grow, the successful candidate will have the opportunity to help shape and supervise the administration function.

What You’ll Be Doing

  • Monitor shared inboxes to ensure the timely processing of invoices and payments.
  • Maintain internal registers, spreadsheets, and invoice tracking tools
  • Handle creditor inquiries and assist with supplier contract management, including setting up suppliers.
  • Coordinate project administration, including job setup, preparation of BOQs, project cost monitoring and weekly reviews with Project Managers.
  • Ensure administrative processes are completed accurately and within required timeframes.
  • Identify opportunities to improve administrative systems and workflows.
  • Assist management with reporting, documentation and compliance requirements.
  • Liaise with internal departments and external stakeholders to ensure smooth business operations.
  • Provide general administrative support across the business as required.

About You

You are an experienced administrator who enjoys taking ownership, You are confident working autonomously and can effectively manage multiple priorities in a fast-paced environment.

You will ideally have:

  • Previous experience in a Senior Administration, Administration Supervisor or Office Coordinator role.
  • Strong organisational and time management skills.
  • Excellent attention to detail and high levels of accuracy.
  • Advanced Microsoft Office skills, particularly Excel.
  • Strong communication and interpersonal skills.
  • The ability to work independently and confidently manage competing priorities.
