Full Time | $85,000 per annum plus superannuation

We are partnering with Harbord OOSH to find expressions of interest for the position of Senior Administration Manager.

This position is currently vacant and plays a critical role in supporting the day-to-day operations of the service through the leadership of administration, enrolments, family accounts, Child Care Subsidy (CCS) administration, reporting and business support functions. The role reports to the General Manager and works closely with service leaders, families and external bookkeeper and payroll provider to ensure the smooth and efficient operation of the service.

About the Role

The Senior Administration Manager is responsible for leading the administration function across Harbord OOSH and ensuring high-quality systems, processes and customer service for families and staff.

Key responsibilities include:

  • Managing enrolments, waitlists, bookings and attendance administration.
  • Overseeing Child Care Subsidy (CCS) administration and family account processes.
  • Managing invoicing, fee collection, account reconciliations and related administration.
  • Supporting reporting requirements and maintaining accurate administrative records.
  • Coordinating inclusion support funding administration and claims processes.
  • Leading administrative systems, procedures and process improvements.
  • Supervising and supporting administration staff.
  • Acting as a key point of contact for families regarding enrolments, bookings and accounts.
  • Supporting compliance, record management and service administration requirements.
  • Liaising with external providers and stakeholders as required.

About You

We are looking for someone who is:

  • Highly organised and able to manage multiple priorities.
  • Experienced in administration, office management or finance administration.
  • Confident working with digital systems and databases.
  • Detail-oriented with strong financial administration and record-keeping skills.
  • Able to build positive relationships with families, staff and stakeholders.
  • Committed to providing high-quality customer service.
  • Comfortable working independently while supporting a busy service environment.

Experience in childcare, education, community services, OOSH or a similar environment will be highly regarded.
