The Role

As the Document Controller, you will report to the Project Controls Lead and play a key role in supporting Ark Energy’s growing portfolio of renewable energy projects.

You will be responsible for managing document control systems and processes across development, construction, commissioning and operational projects, ensuring documentation is accurate, accessible and effectively managed throughout the project lifecycle.

Working closely with project teams, contractors and other stakeholders, you’ll help maintain strong document governance, support project workflows and contribute to the continuous improvement of document management systems and practices.

Your responsibilities will include, but are not limited to:

  • Managing document control systems and processes across a portfolio of renewable energy projects, ensuring information is accurate, accessible and effectively governed throughout the project lifecycle.
  • Coordinating the review, approval, distribution and archiving of project and corporate documentation in accordance with established standards and procedures.
  • Maintaining document registers, workflows, version control processes and audit trails to ensure document integrity and traceability.
  • Supporting project teams by coordinating RFIs, transmittals, technical documentation, design revisions and key project deliverables.
  • Administering document management systems and supporting the ongoing improvement of document control processes, standards and ways of working.
  • Providing guidance and training to employees, contractors and project stakeholders on document control systems and requirements.
  • Preparing document control reports and supporting project governance, compliance and audit activities.
  • Assisting with commissioning, handover and operational documentation to ensure complete and accurate project records.

About You

With a minimum of two years’ experience in document control or a similar administrative role, you have exceptional attention to detail and strong written and verbal communication skills. Your accuracy in handling documents, combined with your strong organisational skills, ensures you can work autonomously, meet deadlines, and adapt to changing priorities in a fast-paced environment. You are proactive, a great team player, and maintain confidentiality when handling sensitive information. With a genuine interest in sustainability, you are motivated to contribute to a greener future.

 

To help you succeed in this role, you will have:

  • An associate or bachelor’s degree in business administration, information management, or a related field (highly desirable)
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other document management software.
  • Experience working with document management systems such as SharePoint, inEight Scenario, Procore, Aconex, Unifier or Auto desk essential
  • Understanding of metadata standards, document numbering systems, revision control, and governance frameworks
  • Exposure to engineering, construction, commissioning, or operational documentation within infrastructure or energy projects (advantageous)
  • Familiarity with industry regulations and standards, such as ISO, OSHA, etc. (advantageous).
