Operations & Sales Support Specialist

Sales Operations | Supply Chain & 3PL | Microsoft Dynamics 365 Business Central

Sydney | Full Time

AquaShield Australia is looking for an experienced Operations & Sales Support Specialist to join our growing Australian business.

This is a hands-on role sitting at the centre of our Sales, Supply Chain, 3PL and Finance operations. You will help ensure customer orders move smoothly from receipt through to delivery, while taking day-to-day ownership of our Microsoft Dynamics 365 Business Central processes and master data.

We are looking for someone with strong, practical experience using Microsoft Dynamics 365 Business Central, ideally within a wholesale, distribution, FMCG, consumer goods or similar environment.

About AquaShield Australia

AquaShield Australia Pty Ltd is the Australian subsidiary of the AquaShield Group, the exclusive Philips brand licensee for Water and selected Healthy Living product categories, including water purification, water heating, bathroom solutions, massage and fitness products.

In Australia, we are building the Philips Water and Healthy Living business through a direct-to-retail model, working with many of Australia’s leading retailers. Our current portfolio includes innovative countertop and under-sink water purification systems, filtration products and related drinking water solutions, with further Healthy Living categories planned for the Australian market.

We are a small, growing and hands-on local team, supported by the broader international AquaShield organisation. As we continue to grow our Australian business, we are building the operational capability and systems needed to support our retail partners and deliver a high level of service to our customers.

The Role

You will support and take ownership of key day-to-day operational requirements of the Australian business, with a particular focus on customer order management, inventory, logistics and Business Central.

Key responsibilities will include:

  • Managing customer sales orders in Microsoft Dynamics 365 Business Central
  • Managing orders from receipt through allocation, release, shipment and invoicing
  • Reviewing stock availability, reservations, backorders and expected delivery dates
  • Working closely with our third-party logistics provider (3PL) to coordinate customer deliveries
  • Managing and troubleshooting EDI orders and order exceptions
  • Supporting major retail customers and responding to order, stock and delivery enquiries
  • Maintaining customer, ship-to, item, pricing and other master data within Business Central
  • Processing and monitoring purchase orders, transfer orders and inventory movements
  • Coordinating returns, warranty replacements and credit requests
  • Maintaining accurate retailer delivery information, GLNs and other customer-specific requirements
  • Investigating and resolving order, inventory and system discrepancies
  • Supporting Sales with stock availability, open orders, delivery status and customer reporting
  • Using Excel to analyse and maintain operational data
  • Working with Finance to ensure transactions are processed correctly and operational issues are resolved promptly
  • Helping improve and document our Business Central and operational processes as the business grows

About You

Ideally, you will have:

  • 3+ years’ experience working with Microsoft Dynamics 365 Business Central / Dynamics NAV
  • Strong understanding of Business Central sales order and inventory processes
  • Experience with sales orders, purchase orders, transfer orders, warehouse/shipment processes and customer master data
  • Experience within a wholesale, distribution, FMCG, consumer electronics, appliances or retail supply environment
  • Experience dealing with 3PL warehouses and freight providers
  • Exposure to EDI and major retailer order processes would be highly regarded
  • Strong Excel skills
  • Good understanding of inventory and supply chain processes
  • High attention to detail and strong problem-solving skills
  • Confidence investigating and resolving issues rather than simply processing transactions
  • Strong communication skills and the ability to work effectively across Sales, Supply Chain and Finance

What We’re Looking For

We are a growing business, so this role will suit someone who enjoys working in a practical, fast-moving environment where responsibilities aren’t confined to a narrow job description.

You’ll be someone who can take an order or operational issue, understand what needs to happen in Business Central, coordinate with the relevant people and see it through to completion.

Just as importantly, we’re looking for someone who will help us improve the way we work – identifying opportunities to simplify processes, improve data quality and make better use of Business Central as the business grows.

Why Join Us?

This is an opportunity to join a growing Australian consumer products business at an early stage and play an important role in building our operational capability.

You’ll work closely with the Australian Sales, Operations and Finance teams, with the opportunity to take genuine ownership of Business Central and our day-to-day sales operations.
