April Group is a property funds and asset management business that has grown quickly over the past couple of years. We’re small enough that everyone knows everyone, and big enough now that we need someone to take proper carriage of how the place runs.
About the role
This role has two halves.
The first is working directly alongside our Managing Director and Founder. Helping him drive his priorities, turning things he mentions in passing into documented plans with owners and dates, and following up across the business so work leaves his desk and stays gone. There’s diary, meeting and travel coordination in there, but that’s the smaller part of it.
The second is owning the engine room. It is the office, the systems, the registers, the documents, and the day-to-day coordination that keeps everything moving. You’ll also take carriage of discrete projects across the business including process documentation, system rollouts, office moves, brand and communications coordination, events.
To be clear about what this is not. It isn’t a traditional executive assistant role. The value sits in initiative, judgement and follow-through. We’re looking for someone who can take an idea raised in a corridor conversation, work out what needs to happen, and come back with it done.
What you’ll be responsible for
- Partnering with the Managing Director to plan, track and drive his priorities and commitments
- Preparing correspondence, papers and materials issued in his name, and acting as a conduit to internal teams, investors, tenants and advisers
- Scoping and delivering operational and business improvement projects end to end
- Capturing how things are done across the business and documenting it into repeatable process and templates
- Running the office day to day, including facilities, suppliers, workspace, equipment
- Coordinating the logistics of onboarding and offboarding, maintaining employee records and org charts, and organising team events and celebrations
- Maintaining policy, training and document registers, and supporting governance and compliance reporting
- Coordinating document execution, filing systems and business systems administration
- Acting as the on-the-ground liaison with our outsourced IT provider
- Working with our People & Culture partner to help coordinate the people practices
Who we’re looking for
In one word: initiative. You’ll be comfortable working with a founder who thinks fast, moves quickly, and won’t sit down twice a day to run through a task list. You’ll take what you’re given, work out the rest, and come back with progress. You’ll also be the person others come to when something needs sorting out.
You’ll need
- Experience partnering with a founder, Managing Director or senior executive, as a business manager, chief of staff, or in a senior executive support role
- A track record of taking an idea or instruction and driving it to completion with minimal oversight
- Strong project coordination skills and the ability to run several pieces of work at once
- Sound judgement and genuine discretion with confidential matters
- Experience in office management, operations or business administration
- Excellent organisational skills and real attention to detail
- Strong writing, including correspondence and materials for a senior audience
- Confidence with Microsoft 365, document management systems and DocuSign
- Comfort with a business that’s still building its structure
Nice to have
Background in change management, business improvement or project delivery; experience in property, funds management, financial or professional services; exposure to marketing, brand or communications; experience supporting governance or compliance; experience coordinating outsourced providers.
