We’re looking for an organised, customer-focused Service Coordinator to join our Wacol Service team.

You don’t necessarily need to have worked as a Service Coordinator before. If you have experience in service administration, scheduling, customer service, automotive, transport, machinery or another fast-paced operational environment, we’d love to hear from you.

This is a busy and varied role where you’ll be the link between our customers, technicians and Parts team—coordinating service and repair work, keeping customers updated and helping ensure jobs move efficiently through the workshop.

What You’ll Do

As Service Coordinator, you’ll work closely with our Service Manager and workshop team to:

– Coordinate bookings for machinery servicing and repairs

– Be a key point of contact for customers throughout the service process

– Create, manage and track service repair orders

– Liaise with technicians regarding job progress, priorities and timeframes

– Keep customers informed of progress, delays and expected completion dates

– Work with our Parts team to coordinate parts required for service jobs

– Prepare invoices and ensure jobs are accurately documented and finalised

– Assist with warranty administration and service documentation

– Maintain accurate customer and service records within our dealership management system

– Help identify preventative maintenance and additional service requirements

– Support the Service Manager with the day-to-day coordination of workshop workflow

What We’re Looking For

More than anything, we’re looking for someone who is organised, approachable and comfortable juggling multiple priorities.

You’ll ideally bring:

– Experience in a customer service, coordination, scheduling or administration role-

– Strong communication skills and confidence dealing with customers

– Excellent organisation and the ability to keep track of multiple jobs at once

– A proactive approach—you follow things through rather than waiting to be asked

– Good attention to detail and administrative accuracy

– Confidence learning and using computer systems

– The ability to work closely with technicians, Parts and other team members

– A practical, solutions-focused approach when things don’t go to plan

Experience within automotive, machinery, agriculture, construction, transport, fleet or a similar service environment would be highly regarded, but isn’t essential. If you’re mechanically minded and keen to learn our products, we’ll provide the support and product knowledge you need.
