AFS is seeking an organised, proactive and professional Executive Office Coordinator with exceptional administration skills to support our Chief Executive Officer (CEO), leadership team, governance, compliance and office operations.
This is a unique opportunity to work closely with senior leaders, contribute to strategic initiatives and help the business run smoothly. You’ll balance executive support, governance coordination, project administration and operational support in a varied role with real responsibility and exposure to a growing professional services firm.
This role is available on either a full-time or 0.8 FTE basis. While our preference is for coverage across Monday to Friday, we are open to flexible arrangements and would welcome applications from candidates seeking shorter working days across the week.

The role
Reporting to the CEO, you will provide high-level executive and administrative support while coordinating a range of governance, compliance and operational activities across the firm.
You will be a trusted point of contact for leaders, employees and external stakeholders, helping to keep priorities on track, supporting key projects and ensuring important business activities are delivered efficiently and professionally.
Key responsibilities
Executive support
- Manage the CEO’s diary, meetings, priorities and administrative requirements.
- Prepare correspondence, presentations, reports and briefing materials.
- Coordinate travel, events and executive logistics.
- Coordinate Board and Committee meetings, including agendas, papers, minutes and action tracking.
- Assist with Board reporting, strategic progress updates and follow-up actions.
- Support strategic initiatives by tracking actions, milestones and deliverables.
- Act as a key liaison between the CEO, Board, leaders and internal and external stakeholders.
- Coordinate governance, risk and compliance activities, workplans and reporting requirements
Governance and compliance support
- Maintain governance records, registers, trackers and documentation.
- Monitor key compliance obligations, policy review cycles and governance deadlines.
- Support administration of the Annual Independence Program and Annual Work Program.
- Support supplier, contract, insurance and firm registration tracking as required.
Office coordination
- Support in project administration and execution.
- Work closely with wider operations team to support operational priorities.
About you
You are highly organised, adaptable and confident working in collaboration with senior stakeholders. You can manage competing priorities, exercise sound judgement and maintain confidentiality while delivering high-quality work.
You’ll also bring:
- Previous experience in executive assistant, office manager, compliance coordinator, administration or similar professional support roles.
