Position Overview

The Compliance Administrator is responsible for the accurate and timely processing of documentation and data relating to Essential Safety Measures (ESM) across client portfolios. This includes liaising with clients and contractors, maintaining up-to-date system records, identifying non-compliance risks, and supporting the timely issuance of annual compliance statements. Roles are structured across multiple tiers reflecting portfolio complexity, system expertise, and regulatory knowledge.

Position Structure (includes 4 Levels) & Responsibilities

Level 1 – Entry-Level Compliance Administrator

•C-grade client portfolios

•Data Entry

•Reception Duties as required

•Attend client and contractor meetings as required

•Assist Level 2, Level 3 and Compliance Supervisor with their work-load where required

•Direct reporting to Account Managers where required

•Liaise with clients and contractors regarding certification documents, service reports and outstanding defects

•Timely processing of ESM related correspondence and contractor certifications

•Identify issues and non-compliance within received correspondence and relay to the client any issues that will delay the compliance of their sites and issuing of the annual statement

•Review and update service reports supplied by clients, contractors, or AESC staff members

•Review and update online contractor certification reports

•Prepare and issue the annual ESM compliance certifications

Level 2 – Intermediate Compliance Administrator

•B-grade client portfolios

•Co-ordinate client and contractor meetings as required

•Co-ordinate and attend staff client and contractor meetings as required

•Identify internal system issues and advise the Compliance Supervisor

•Have an adequate understanding of the ESM regulations and requirements in multiple states (working to all States) to enable you to complete all required tasks satisfactorily

•Have an adequate level of the BOSS System interface usability

•Conduct client and contractor portfolio reporting

Direct reporting to Account Managers where required

•Liaise with clients and contractors regarding certification documents, service reports and outstanding defects

•Timely processing of ESM related correspondence and contractor certifications

•Identify issues and non-compliance within received correspondence and relay to the client any issues that will delay the compliance of their sites and issuing of the annual statement.

•Have an excellent understanding of the ESM regulations and requirements in all States to enable you to complete all required tasks satisfactorily

•Have an excellent level of the BOSS System interface usability

•Account management responsibilities and direct reporting to Account Managers where required

•Identify internal system issues and advise the Compliance Supervisor

•Perform Compliance Supervisor duties in the absence of the Compliance Supervisor

•Have an excellent understanding of the ESM regulations and requirements in all States to enable you to complete all required tasks satisfactorily

•Have an excellent level of the BOSS System interface usability
