About the Role

We’re looking for an organised and commercially minded Commercial Coordinator to join our team and support the management of our national property and fleet portfolio.

Reporting to the Commercial Manager, you’ll work across approximately 24 industrial warehouse and yard sites and a national fleet of approximately 140 light and heavy vehicles.

This is a varied coordination role where you’ll work with internal teams, landlords, property agents, legal advisers, fleet providers, dealerships and suppliers. You’ll gain exposure across property, leasing, fleet, procurement, budgeting and broader commercial projects.

Key Responsibilities

Property & Leasing

  • Coordinate lease obligations and key dates across our national property portfolio.
  • Maintain lease documentation, property records and key-date registers.
  • Support lease renewals, new sites, expansions, subleases and exits.
  • Liaise with landlords, commercial agents and external legal advisers.
  • Assist with rent reviews, outgoings, bank guarantees and lease requirements.
  • Prepare property information, market comparisons and rent benchmarking.
  • Coordinate warehouse and yard relocations, closures and site works.
  • Assist in identifying opportunities to improve property utilisation and manage costs.

Fleet & Vehicle Coordination

  • Support the day-to-day management of approximately 140 light and heavy vehicles.
  • Coordinate vehicle additions, driver allocations, fuel cards, registrations and GPS/telematics.
  • Assist with vehicle and plant procurement from specification through to delivery.
  • Liaise with fleet providers, dealerships, truck builders and suppliers.
  • Administer subcontractor truck purchase and leasing agreements.
  • Coordinate subcontractor vehicle costs, insurance, registrations and other recoveries.
  • Maintain accurate and up-to-date fleet information across company and provider systems.

Budgeting & Commercial Support

  • Assist with occupancy, fleet and fixed-asset budgets.
  • Maintain accurate information to support forecasting and financial reporting.
  • Work closely with Finance on reconciliations and cost allocations.
  • Support the Commercial Manager with commercial projects and initiatives.
  • Assist with procurement and supplier management activities.

Process Improvement

  • Identify opportunities to simplify and improve commercial processes.
  • Help develop more consistent and scalable property and fleet systems.
  • Explore the use of technology, automation and AI to improve efficiency and accuracy.
  • Support improved reporting and visibility across property and fleet activities.

About You

We’re looking for someone who is highly organised, commercially curious and comfortable coordinating multiple priorities and stakeholders.

You may already have experience within property, leasing, facilities, fleet or commercial operations, or you may have developed strong coordination and commercial skills in a related environment and be looking to broaden your experience.

You’ll ideally bring:

  • Experience in commercial property, leasing, facilities, fleet, procurement, commercial operations or a similar coordination role.
  • Strong organisational skills with the ability to manage multiple deadlines.
  • Confidence working with internal and external stakeholders.
  • Strong attention to detail and accurate record management.
  • Commercial awareness and an interest in developing negotiation skills.
  • Exposure to budgeting, forecasting, cost management or financial analysis is advantageous.
  • Strong Excel and general systems capability.
  • Clear written and verbal communication skills.
  • An interest in technology, automation, AI and process improvement.
  • A willingness to learn and develop across different areas of commercial operations.
  • A tertiary qualification in property, commerce, business or a related discipline is desirable but not essential where you have relevant practical experience.
  • Experience with commercial leases, including rent reviews, outgoings, options, bank guarantees or make-good obligations, will be highly regarded.
