Position Overview
We’re seeking a proactive and highly organised Rental Assistant to support our Communities Business Unit. In this remote role, you’ll provide essential administrative and operational support to the Group Property Manager across a portfolio of residential communities.
You’ll play a key role in coordinating the end-to-end rental process, from new tenancy applications and lease preparation to compliance documentation and inspection scheduling. Working closely with Park Managers and Operations Managers, you’ll help ensure rental processes are consistent, compliant, and delivered with exceptional attention to detail.

Key Responsibilities

Leasing & Tenancy Administration: Assist with advertising vacancies, processing applications, preparing lease documentation, coordinating signatures, and supporting bond lodgements and tenancy processing.

Rental Coordination: Coordinate enquiries, assist with sourcing prospective tenants, and support occupancy strategies to help maximise rental income.

Compliance & Documentation: Maintain accurate tenancy records, ensure required documentation is completed, and support compliance activities across multiple states.

Inspection & Reporting Support: Assist in organising incoming and outgoing inspections, ensuring reports are completed and properly filed.

Maintenance & Issue Coordination: Liaise with Park Managers regarding repairs and maintenance matters, escalating urgent issues where required.

Market & Data Support: Compile local rental market data to support pricing reviews and market comparisons.

Stakeholder Communication: Support communication between residents, Park Managers, Operations Managers, Legal, and the Group Property Manager regarding tenancy matters and documentation updates.
Minimum Requirements
Experience
Previous experience in property management, leasing administration, or a similar administrative role (multi-site experience highly regarded).

Organisational Skills: Strong ability to manage multiple priorities across a portfolio of properties with high attention to detail.

Communication Skills: Clear and professional written and verbal communication skills.

Technical Proficiency: Comfortable using property management systems and Microsoft Office (experience with RMS or similar systems advantageous).

Compliance Awareness: Understanding of tenancy processes and documentation requirements (multi-state knowledge desirable).

Time Management: Ability to work independently in a remote environment while meeting deadlines.
