VDI Australia is seeking a Travel & Events Administrator to join our team and play a pivotal role supporting the Executive Team through travel coordination, event management, office administration and facilities support. This is a varied role offering autonomy, responsibility and the opportunity to work across multiple areas of a growing national business.

About the Role 

Reporting to the Executive Team, you will be responsible for coordinating corporate travel, company events, office operations and administrative activities across our national business. This role requires exceptional organisational skills, strong attention to detail, sound commercial judgement and the ability to manage competing priorities in a fast-paced environment. We are looking for someone who demonstrates initiative and strong follow-through, proactively engaging with stakeholders to obtain information, resolve issues and ensure deadlines are met. 

Key Responsibilities 

Executive Support 

  • Support the Executive Team with administration, communications and special projects 
  • Manage confidential information with professionalism and discretion 

Travel Coordination 

  • Coordinate domestic and international travel arrangements 
  • Manage itineraries, accommodation and travel budgets 
  • Monitor travel expenditure and identify cost-effective solutions 

Events Coordination 

  • Coordinate company events, conferences, training sessions and customer functions 
  • Manage event logistics, suppliers, budgets and reporting 

Administration & Facilities 

  • Coordinate office supplies, facilities and maintenance activities 
  • Liaise with contractors, landlords and service providers 
  • Support day-to-day office operations 

Financial & Operational Support 

  • Reconcile expenses and corporate credit card transactions 
  • Prepare expenditure reports and maintain accurate records 
  • Support budget tracking and supplier management
