About the Role

Reporting to the Supply Chain Manager, the Warehouse Assistant is a foundational, hands-on role responsible for bringing structure, accuracy and reliability to Urban Rest’s Sydney warehouse. Today our warehouse operates without scalable processes. Stock leaves the building without being recorded, vehicles are not stock-controlled, and warehouse tasks are absorbed informally by housekeeping and operations team members between property jobs. This role exists to change that. You will work closely with the Supply Chain Manager to design, implement and continuously improve the standard operating procedures, layout standards and inventory practices the warehouse currently lacks, and then take ownership of running them day to day. This is an ideal role for someone who enjoys building structure from scratch, takes pride in an organised and accurate warehouse, and wants genuine ownership of a function as it grows. As Urban Rest scales, this role is expected to scale with it.

 

Responsibilities 

Process & SOP Ownership

  • Partner with the Supply Chain Manager to design and document warehouse SOPs from the ground up, covering receiving, put-away, cycle counts, van restocking, returns, and damaged stock handling, where none currently exist
  • Own day-to-day adherence to SOPs once established, and proactively identify gaps or improvements as volume and complexity grow
  • Support the design and upkeep of warehouse layout standards, storage zoning and signage systems
  • Act as the on-the-ground source of truth on warehouse operations, feeding practical insights back to the Supply Chain Manager to inform ongoing process refinement
  • Help onboard and train future warehouse team members on documented SOPs as the function grows

Warehouse Operations

  • In collaboration with the Supply Chain Manager, oversee the daily operation of the Sydney warehouse
  • Maintain clean, organised and clearly labelled storage locations in line with agreed layout standards
  • Receive, inspect and correctly store incoming deliveries, updating InFlow accordingly
  • Coordinate unloading and put-away of supplier deliveries, including unpacking and shelving of stock
  • Segregate stock into clearly defined Operations and Housekeeping zones so field teams can self-serve quickly and accurately
  • Conduct regular reviews of shelving and storage areas to remove obsolete, damaged or expired product and clear empty packaging
  • Assess stock returned from offboarded properties, identify what is serviceable for reuse and update inventory records accordingly
  • Ensure all products are stored safely and efficiently, using manual handling equipment such as trolleys and pallet jacks for heavier or bulkier items
  • Complete a scheduled weekly deep clean and reset of the warehouse

Inventory Management

  • Maintain accurate inventory records within the InFlow Inventory Management System
  • Record all stock movements in and out of the warehouse, ensuring every transfer captures the required detail including property code and receiving team member
  • Complete regular cycle counts and monthly stocktakes against documented procedure
  • Investigate and report stock discrepancies, and implement agreed corrective actions
  • Monitor and record inventory movements between the warehouse and fleet vehicles, keeping van stock records current
  • Maintain agreed minimum and maximum stock levels, flagging replenishment needs before shortages affect field teams

Procurement Support

  • Raise purchase orders for warehouse replenishment
  • Monitor supplier deliveries against purchase orders, documenting delivery dockets and marking off all incoming POs
  • Follow up on outstanding deliveries and shortages
  • Report damaged or incorrect goods to the Supply Chain Manager and manage the returns process through to resolution

Fleet & Vehicle Support

  • Prepare and load van stock for operational and housekeeping teams ahead of scheduled runs, so field staff can collect and depart without delay
  • Ensure vehicles are stocked with required consumables, amenities and FF&E essentials
  • Maintain stock control across the fleet, including recording what is loaded, used and returned
  • Complete monthly vehicle inspections via SafetyCulture and escalate defects promptly
  • Coordinate vehicle servicing, repairs, cleaning and roadworthiness, including drop-off and pick-up scheduling
  • Support fleet compliance record-keeping, including registration, insurance and safety equipment currency

Housekeeping & Field Team Support

  • Manage the daily linen cycle, including receipting inbound clean linen, processing outbound soiled linen and preparing daily linen and cleaning product packs for Housekeeping Service Attendants
  • Prepare and maintain operations boxes and standard kit sets for field teams
  • Support proactive delivery of guest amenities and consumables to properties, reducing reactive trips by field staff
  • Manage rejected linen in conjunction with the National Housekeeping Manager and Supply Chain Manager
  • Coordinate operational supplies for field teams and respond to ad hoc stock requests within agreed service levels

Health, Safety & Compliance

  • Work in accordance with Urban Rest WHS policies, safe manual handling practice and chemical handling requirements
  • Maintain a clean, safe and hazard-free warehouse environment, reporting incidents and near misses promptly
  • Ensure equipment is in good working order and any test and tag requirements are met
  • Ensure the warehouse is secured at the end of each shift

 

What We Look For

Must have:

  • Experience in a warehouse, distribution or logistics environment
  • Familiarity with warehouse management or inventory software (InFlow experience desirable, not essential)
  • Demonstrated experience contributing to process or SOP design, you will be building this from the ground up alongside your manager
  • Strong attention to detail and accuracy when handling goods and documentation
  • A valid driver’s licence and confidence driving a company vehicle
  • Physical fitness and the ability to perform manual labour, including lifting, carrying and standing for extended periods (unassisted lifting up to 20kg; mechanical aids used for heavier items)
  • Ability to work independently and prioritise tasks with minimal day-to-day supervision
  • Commitment to workplace health and safety compliance
  • Reliability, punctuality and a positive, can-do attitude
  • Monday – Friday shifts: Availability for early mornings, proposed 7am – 12pm (flexible options can be discussed), to align with delivery and van dispatch windows, but can be flexible

Nice to Have

  • Experience supporting a warehouse function through a period of growth or change
  • Background in hospitality, property, construction or facilities supply
  • Forklift or pallet jack licence
  • Comfort with digital tools such as Google Workspace and SafetyCulture
