Payroll Client Communications Lead

Full-Time  | $80,000 + Super  |  Melbourne (Hybrid)

Reports to: Payroll Team Leader

About Us

The Breakthrough Office (TBO) is a Not-for-Profit specialist, providing outsourced accounting, governance, HR, and payroll solutions under one roof. We support NFPs, charities, and community organisations to achieve breakthrough; filling gaps with tailored, end-to-end solutions rather than one-size-fits-all fixes. Our team brings deep NFP sector expertise, and we’re proud to be community-focused at our core: helping organisations spend less time on administrative burden and more time on their purpose.

About the Role

We’re looking for a proactive Client Communications Lead to join our Payroll team, reporting to the Payroll Team Leader. You’ll be the key point of contact for client communication and relationship management across our payroll portfolio, ensuring clients feel supported, informed, and confident in our service. It’s a great fit for someone who enjoys the people-side of client management.

Key Responsibilities

  • Lead day-to-day communication and relationship management for a portfolio of payroll clients
  • Act as the primary contact for client payroll queries, ensuring timely, professional responses
  • Maintain employee records, onboarding/offboarding data, and payroll system updates
  • Coordinate with the Payroll Team Leader on escalations, exceptions, and client updates
  • Support system administration across payroll platforms (e.g. Employment Hero, Xero, TANDA)
  • Maintain accurate documentation and support audit-readiness

About You

  • Prior experience in administration or processing (NFP sector experience a plus, not essential)
  • Confident, professional communicator, comfortable owning client relationships
  • Strong attention to detail and a methodical, organised approach
  • Comfortable working across multiple systems and client portfolios
  • Ability to manage competing deadlines in a fast-paced environment
  • Experience with Xero, Employment Hero, TANDA, or similar platforms desirable

What We Offer

  • Hybrid working arrangements
  • Exposure to a broad and meaningful NFP client portfolio
  • A supportive, collaborative team culture
  • The opportunity to make a genuine difference in the community sector
