Description

The Opportunity

The Banyans is looking for an organised, people-focused Operations Support Officer to keep our residential and Health Plus day program services running smoothly. This is a hands-on role at the centre of our Guest Services team. You’ll own the scheduling, records, systems and logistics that let our clinical and guest-facing teams focus on what they do best: caring for our guests.

Working alongside the operations team, you’ll be a steady, dependable presence across a 7-day roster, sharing weekend coverage with a fellow Operations Support Officer.

What You’ll Do

Scheduling & Program Administration

  • Manage day-to-day scheduling of guest programs; medical appointments, wellness sessions and therapeutic activities.
  • Coordinate transport, tests and appointment logistics for guests.
  • Support coach rostering to ensure smooth shift coverage.
  • Handle routine intake and arrival logistics, escalating complex matters to the Guest Liaison.

Records, Documentation & Compliance

  • Maintain guest records and program documentation to a high standard, in line with accreditation requirements (including NSQHS).
  • Complete accurate incident reporting within required timeframes.
  • Keep records and reporting up to date and properly filed.

Reporting & Systems

  • Prepare reports and track key metrics for the leadership team.
  • Maintain office systems including SharePoint and patient information management systems.
  • Support leadership meetings; agendas, minutes and follow-up actions.

Guest Services & Communication

  • Be a warm, professional first point of contact for guests, families and visitors.
  • Support guest experience touchpoints and feedback collection.
  • Communicate confidently and appropriately across written, verbal and virtual channels, while maintaining confidentiality at all times.

Logistics & Office Support

  • Manage guest arrival and departure logistics.
  • Handle post runs, filing, scanning and general office administration.
  • Coordinate meeting logistics, room bookings and hospitality.

What You’ll Bring

  • Minimum 2 years’ experience in an administrative role. Healthcare, hospitality or another client-facing environment is ideal.
  • Strong organisational skills and sharp attention to detail.
  • A proven ability to juggle competing priorities and deadlines.
  • Confidence with Microsoft 365 (Word, Excel, Outlook, SharePoint) and a willingness to learn new systems.
  • Excellent written and verbal communication skills.
  • A proactive, positive approach to problem-solving.
  • The ability to work independently and as part of a team, with compassion and confidentiality front of mind.

Desirable

  • Experience in residential, clinic or inpatient healthcare services.
  • Experience contributing to the development of administrative systems and processes.

What You’ll Need to Hold

  • A Working with Children Blue Card (or willingness to obtain).
  • A current C-class Motor Vehicle Licence and willingness to drive a Banyans vehicle.
  • A First Aid Certificate including CPR (or willingness to obtain).
  • Appointment may be subject to a Federal Police Clearance.
