About The Role
Syenta is seeking a high-ownership Executive Assistant & Office Manager to keep our CEO, CTO and workplace running at their best. You’ll support two executive calendars across Australia, the US, Asia and Europe, manage travel, and support the Chief of Staff on strategic initiatives. You’ll also run our Sydney office as we grow into a new facility.
Reporting to the Chief of Staff, you’ll be the go-to person for how things get done at Syenta, with the freedom to improve how we work along the way.
Responsibilities
Executive Support
- Own the CEO’s and CTO’s calendars. Triage meeting requests, protect focus time, prepare them for the week ahead, and juggle time zones across Australia, the US, Asia and Europe.
- Plan and book their domestic and international travel, including flights, accommodation, itineraries and the last-minute changes that come with them.
- Support the Chief of Staff on strategic and cross-functional initiatives.
Office & Facility Operations
- Create a workplace people love coming to: a well-run, welcoming space that’s always ready to make a great impression on investors, customers and visitors.
- Keep day-to-day operations running smoothly, from tidy meeting rooms and shared spaces to an unpacked dishwasher, watered plants and a well-stocked kitchen.
- Be the go-to person for facility issues. Manage building and vendor relationships, warranty claims and repairs, especially as we settle into our new facility.
- Act as point of contact for site security, including keycards and access control, alarms, visitors, and liaison with our security providers.
- Make every new joiner’s first day seamless. Coordinate keycards, devices and system access with our IT provider, and track equipment and issues across the team.
- Manage our software tools, including user accounts, licences and subscriptions, so people have what they need and we’re not paying for what we don’t use.
People, Culture & Communications
- Bring the team together, from sport activities and birthdays to team dinners, offsites and end-of-year celebrations.
- Help shape company-wide presentations and newsletter.
Finance Administration
- Keep our spending under control. Own the company card and expense process, make sure every transaction is accounted for each week, and help the team stay on top of their expenses.
