Description

The opportunity

We’re looking for an exceptional organiser and people person to join the Septennial Group head office team as Assistant to the Managing Director.

Working closely with our Managing Director and our COO, you’ll assist us in keeping the many moving parts of our MD’s day & Septennial organised, connected and running smoothly.

Septennial is a growing group of businesses focussed on our clients’ goals and futures spanning financial advice, accounting, lending, property and legal services. This role is within our head office Septennial team. You won’t be getting caught up in the day today operations of individual departments, you’ll be helping us keep an eye across the bigger picture and supporting the people responsible for keeping it all moving.

There will be calendars to coordinate, clients to look after, offices to keep running, meetings to organise and plenty of things that simply need a capable person to help make them happen.

If being the person behind the scenes who helps keep everything organised sounds genuinely satisfying to you, you might be exactly who we’re looking for.

What you’ll be doing

Your role will be varied and will evolve as the Group continues to grow. Initially, you’ll work closely with our Managing Director and COO to assist with and coordinate tasks such as –

  • Coordinating the Managing Director’s diary, appointments and meetings
  • Assisting with client and external communications on the Managing Director’s behalf
  • Coordinating and confirming client meetings and appointments
  • Helping keep track of follow-ups, commitments and arrangements
  • Assisting the Managing Director and COO with Group level administration and operational coordination
  • Helping coordinate the practical requirements of our offices across multiple locations nationally
  • Assisting with stationery, office supplies and general ordering
  • Helping coordinate building access, keys and staff access requirements
  • Liaising with building management, maintenance providers and suppliers as required
  • Assisting with planning & catering for meetings, events and team activities
  • Assisting with internal events, functions and Group initiatives
  • Coordinating travel, accommodation and itineraries when required
  • Helping with the inevitable “Can you please make this happen?” requests that come with a busy and growing business

Who we’re looking for

Experience is important, but how you operate matters just as much to us.

You genuinely enjoy organising things. You like knowing the meeting is booked, the room is ready, the client has been contacted, the access card is sorted, the order has arrived and the thing someone mentioned three days ago hasn’t been forgotten.

You have a mature, positive outlook and don’t get caught up in problems for the sake of problems. Your natural response is to work out what can be done next. You’re resourceful, willing to ask questions and approach things with a genuine “there’s always a way” mindset.

And when plans change – because they will – you don’t become easily stressed or rattled. You adjust, work through what needs to happen and keep moving.

You’ll be someone who –

  • Has a mature, positive and practical outlook
  • Genuinely loves helping people and delivering great service
  • Takes pride in being organised and helping keep others organised
  • Approaches challenges with a “nothing is impossible” attitude
  • Is warm, confident and professional with clients and external contacts
  • Has excellent attention to detail
  • Is proactive while also knowing when to ask for direction
  • Can juggle competing priorities without becoming flustered
  • Uses common sense and good judgement
  • Can take a direction and turn it into action
  • Is comfortable working closely with senior leaders
  • Understands discretion and confidentiality
  • Notices the little things that make an office, meeting or client experience feel considered
  • Is happy to jump in and help make things happen

At least 2 years’ experience in administration, as a personal assistant, executive support, client services, office coordination, reception or a similar role is required.

A role you can make your own

One of the great things about working at Septennial is the exposure you’ll have to a wide range of businesses and professions.

You’ll work around people in financial advice, accounting, lending, property, legal and corporate operations, and you’ll have the opportunity to learn an enormous amount simply by being part of the environment.

We encourage our people to grow, learn and explore opportunities where that is something they want. But we’re equally excited to meet someone who has already found what they love.

Why Septennial?

We believe that anyone who interacts with Septennial should be better off for having done so – and that applies to our clients and our people.

We care about the experience someone has when they walk into one of our offices, speak with us on the phone, attend a meeting or become a client.

Our culture isn’t about a set of words written on a wall. It’s about how we behave, how we treat people, how we solve problems and the standards we bring to the little things every day.

This role has an important part to play in that.

You’ll often be one of the people quietly connecting the dots behind the scenes – helping create the organisation, consistency and experience that allows the rest of the Group to operate at its best.

The details

This role is based in our Surfers Paradise office and is an office-based position.

Ideally, we’re looking for someone full-time. However, for the right person, we’re open to part-time hours across five days – for example, someone who wants to work shorter school-friendly days while still providing consistency across the working week.

If you’re a passionate organiser, love dealing with people, bring a mature and positive outlook and get genuine satisfaction from helping make things happen, we’d love to hear from you.
