We are seeking a highly organised, professional and discreet Executive Assistant to provide responsive support to the Chief Executive Officer (CEO) and play an important role in the effective operation of the executive office.
This role would suit an experienced Executive Assistant or senior administrator who enjoys working close to executive decision-making, takes pride in producing high-quality work and is confident supporting Board, committee and senior leadership activity in a professional, member-focused environment.

The Role
Reporting to the Executive Office and Membership Manager, with regular direct support to the CEO, the Executive Assistant will coordinate the CEO’s diary, meetings, travel, correspondence and executive workflow, while also providing high-quality Board and committee administration, document control and records management.
This is a hands-on role requiring discretion, sound judgement, exceptional attention to detail and the confidence to manage changing priorities in a busy executive environment, while maintaining clear, professional and collaborative relationships across the Club.
This is not a purely administrative role. The successful candidate will play an important part in keeping the Executive Office organised, responsive and well connected, while supporting the smooth operation of senior leadership, Board and committee activity.
Key Responsibilities
- Manage the CEO’s diary, appointments, meetings, travel arrangements and day-to-day executive workflow
- Schedule and coordinate meetings, including invitations, rooms, technology, visitor access, catering and supporting materials
- Coordinate Board and committee calendars, agendas, papers, meeting logistics, minutes, resolutions, action lists and associated records
- Draft, format, proofread and quality-check correspondence, reports, briefing papers, presentations and executive documents to a high professional standard
- Maintain secure and well-organised executive, Board and committee records, registers and electronic filing systems
- Coordinate document review, approval, signature, distribution and version-control processes
- Monitor administrative deadlines and follow up outstanding information, approvals, actions and documents
- Communicate professionally with directors, employees, members, advisers, consultants, suppliers and other stakeholders
- Provide administrative support for agreed strategic projects and organisational initiatives
- Handle confidential, personal, commercial and governance information with discretion and professionalism
What we’re looking for
- Demonstrated experience in an Executive Assistant, Personal Assistant, Board support or senior administrative role
- Proven ability to manage complex diaries, meetings, travel and competing executive priorities
- Experience coordinating Board or committee papers, agendas, minutes, actions and records is highly desirable
- Excellent written communication, proofreading, minute-taking and document-preparation skills
- Strong organisational and time-management capability with exceptional attention to detail and follow-through
- A high level of discretion, professionalism and confidence when handling sensitive and confidential information
- Advanced proficiency in Microsoft 365 including Outlook, Word, Excel, PowerPoint and Teams
- Ability to build effective working relationships with senior leaders, directors, employees, members and external stakeholders
- A calm, adaptable and service-oriented approach with the ability to work effectively within a dual reporting relationship
- Relevant qualifications in business administration, governance or a related discipline are desirable
