We’re looking for a capable and organised Administrator to provide flexible support to our Co-Care team, primarily covering planned leave, team absences and periods of increased workload.

The role
You’ll step in where the team needs you most, helping keep things running smoothly and ensuring our clients continue to receive responsive, reliable support.
Working primarily by phone, email and through our digital systems, you’ll assist clients with routine enquiries, complete regular check-ins, support funding and budget administration, maintain accurate records and make sure important actions don’t get missed.
Your day could include:
- Calling clients for regular check-ins and following up on outstanding actions
- Responding to routine client enquiries by phone and email
- Providing basic information about client funding, budgets, service utilisation and contributions
- Identifying funding concerns, client issues or risks and escalating these to the appropriate Co-Care Partner
- Keeping client records, notes and follow-up actions accurate and up to date
- Managing a busy inbox and prioritising time-sensitive requests
- Organising and maintaining client documentation in SharePoint
- Supporting the wider Co-Care team with day-to-day administration and leave coverage
- Following PlanCare’s processes for privacy, confidentiality, documentation and client information
About you
You don’t necessarily need extensive aged care experience. We’re looking for someone who is reliable, organised, confident with technology, and a strong written and verbal communicator.
You’ll ideally bring:
- Strong administration and customer service experience
- A warm, professional and confident phone manner
- Excellent attention to detail and follow-through
- Confidence managing competing priorities, emails and deadlines
- Good Microsoft Outlook and SharePoint skills
- Strong data entry and record-keeping capability
- Confidence learning new systems and processes
- The judgement to recognise when something needs to be escalated
- The ability to work independently while being a collaborative member of the team
Experience in aged care, healthcare, community services, funding administration or client services would be an advantage, but isn’t essential.
