ABOUT THE ROLE
The Onboarding & Operations Specialist plays a pivotal role in ensuring a seamless onboarding experience for merchants and supporting key operational functions across the business. This role is responsible for maintaining the integrity of CRM systems and providing operational support across product, finance, logistics, and customer support. Working closely with internal teams, partners, and merchants, the Onboarding & Operations Specialist drives efficiency, accuracy, and customer satisfaction.
RESPONSIBILITIES
- Manage onboarding for new and existing merchants in MVSI and support KYC/KYB/AML compliance
- QA new MVSI applications for merchants (QA on pricing, products, parameters, setup options etc)
- Data integrity across multiple platforms – MVSI, CRM, Merchant Portal, and PaySuite (TMS)
- Maintain and optimise CRM systems (Microsoft Dynamics) ongoing.
- Work closely with Credit Underwriting and Merchant Risk teams to support compliant merchant onboarding
- Provide documentation support to sales teams and assist with application QA and rework
- Support onboarding existing merchants with additional locations, change of entities, device upgrades and re-pricing
- Monitor entities via CreditorWatch and manage updates or changes
- Generate weekly and monthly reports to support financial operations and performance tracking
- Coordinate EFTPOS event reporting, shipping, and CRM updates
- Manage stock levels for POS and EFTPOS devices for PayNuts
- Handle procurement and tracking of accessories and hardware for PayNuts
- Respond to audit enquiries from upstream suppliers and/or regulators
- Work closely with operations, support, sales and partnerships teams to improve efficiencies & communication
QUALIFICATIONS
Experience
- Managed merchant/client onboarding in fast‑paced and fintech-style environments.
- Strong CRM management and optimisation (e.g., Dynamics), including precise data entry, lead qualification, and reconciliation.
- Exposure to cross‑functional operations across product, finance, logistics, and customer support.
- Collaborated effectively with internal teams, partners, and merchants to improve efficiency and customer satisfaction.
- Supported sales and merchant operations through reporting and operational assistance.
- Familiar with financial operations, risk monitoring, and logistics workflows.
Skills
- High attention to detail across documentation, CRM accuracy, and financial reconciliation.
- Excellent organisation and time management to handle multiple workflows.
- Strong communication and stakeholder‑management abilities.
