About the Role
This is a three-part role, and we mean it. About a third of your week is People & Culture, a third is administration and a third is running our Kewdale office. One hour you might be drafting an employment contract. The next you’re sorting a maintenance request with the landlord, booking travel for the business owner or planning the next team celebration.
It suits someone who loves variety, sees what needs doing without being asked, and takes as much pride in a well-run office as in a well-drafted contract. If you see office management as the lesser part of an HR job, this isn’t the role for you. If you love being the person who keeps the place running and the people looked after, read on.
What you’ll be doing
People & Culture
- Drafting letters of offer, employment contracts, contract variations and other employee letters
- Owning onboarding and off-boarding from start to finish, including inductions for all new starters
- Maintaining our HRIS and personnel records (Employment Hero, front and back end)
- Coordinating recruitment with our external agency partners: attending interviews, taking notes, shortlisting for second interviews and completing onboarding paperwork
- Writing and maintaining position descriptions with leaders
- Supporting training and development, including training records and certificate expiries and renewals
- Answering HR queries and knowing when to escalate
- Supporting return-to-work programs, and running our wellness program and culture and recognition initiatives
- Keeping across HR law changes and recommending policy updates
Administration
- Preparing monthly reporting
- Processing leave in Xero, making sure every absence has the right leave application, and keeping the Teams calendar up to date
- Helping manage the P&C budget
Office Management
- Managing facilities, maintenance requests and dealings with the landlord
- Providing PA support to the business owner
- Booking all travel: flights, accommodation and car hire
- Looking after office supplies, the snack station and the kitchen
- Answering the team’s office queries (stationery, supplies, cleaners)
- Planning morning teas, lunches, celebrations, off-sites and conferences
About you (what we’re looking for)
You’ll need:
- 2 to 3 years in a similar HR, People & Culture or HR and office coordinator role
- Hands-on experience drafting offer letters, employment contracts and variations yourself, not just helping with them
- Real experience running onboarding and off-boarding
- A disciplined, accurate approach to HRIS and personnel records (any platform)
- Solid working knowledge of Australian employment basics: leave accruals, entitlements, probation and when to escalate
- Excellent written English. Your application is your first work sample, so please include a short cover letter
- A self-starter mindset: you spot what needs doing and get on with it
- Strong organisation and the ability to juggle three different types of work in the same day
- A real willingness to roll up your sleeves on office management and PA work
- Good Microsoft Office skills
- A current driver’s licence
- Full, unrestricted Australian working rights
Highly regarded:
- Employment Hero or other HRIS experience (training provided if needed)
- Experience coordinating recruitment with external agencies
- Experience planning culture and wellness events
- WHS/OS&H exposure
