Description

Northfleet is the largest fleet provider in the Pilbara, with over 20 years in the region and multiple depots across WA. We’re looking for a friendly, proactive Administration Assistant to be the welcoming face of our Osborne Park office and the person who keeps it running smoothly.

About the Role

This is more than a reception role. As the first point of contact for visitors and callers, you’ll set the tone for everyone who walks through our door or picks up the phone. Behind the scenes, you’ll own the day-to-day running of the office: facilities, supplies, vehicle bookings and staff communications. You’ll also support teams across the business. We’re looking for someone who spots what needs doing and takes initiative.

What You’ll Do

Reception and front of house

  • Greet visitors warmly, manage sign-in, and let staff know promptly when their guests arrive
  • Answer and direct calls, and handle incoming and outgoing emails and post professionally
  • Keep the reception area and meeting rooms clean, tidy, well stocked and ready to use

Office coordination

  • Run the office day to day, making sure the team has what they need to work well
  • Manage stationery, kitchen and bathroom supplies, including weekly orders
  • Coordinate facilities requests such as maintenance, skip bins and paper destruction, working with contractors and the building owner
  • Manage the staff vehicle booking calendar and usage log
  • Spot ways to improve office processes and put them in place

Business support

  • Support departments across the business with admin tasks, document preparation, data entry and filing
  • Coordinate staff communications through Teams and Employment Hero, and keep the intranet up to date
  • Plan and coordinate staff events and office activities
  • Step in to help with projects and tasks wherever you’re needed

What We’re Looking For

  • A friendly, professional and welcoming manner
  • Strong communication and people skills, and confidence working with staff at all levels
  • Excellent organisation and attention to detail, with the ability to juggle competing priorities
  • Initiative: you take ownership, anticipate needs and follow things through
  • A reliable, can-do attitude and a willingness to help across teams
  • Confidence with Microsoft 365 (Word, Excel, Outlook, PowerPoint, Teams)
  • Experience in reception, administration or office coordination is a plus but not essential. We value the right attitude.
