Reservations Officer | Custom Charter & Aviation
Location: Moorabbin Airport, in Melbourne’s South-East
Position: Full-time permanent
Remuneration: $70,000 to $75,000 + Superannuation
Every great flight starts with a well-made plan.
A corporate team needing to reach a regional destination on a tight schedule. A private helicopter charter for a special occasion. A multi-stop itinerary requiring the right aircraft, the right timing and every detail carefully coordinated. Behind each of these flights is someone who turns a customer enquiry into a seamless aviation experience.
We’re looking for an experienced reservations or travel professional who enjoys putting the pieces together. Someone who can understand what a customer needs, develop tailored solutions, prepare accurate quotations and coordinate bookings from the first conversation through to flight departure.
If you’re organised, detail oriented and enjoy the challenge of arranging something beyond a standard booking, we’d love to hear from you.
About The Role:
Custom charter reservations are at the heart of this position. Based at our Moorabbin Airport head office, you’ll work across Microflite Group’s helicopter and fixed-wing fleet, coordinating private, corporate, event and regional charter bookings.
No two enquiries will be quite the same. One customer might need a helicopter transfer for a corporate event, while another requires a tailored itinerary involving multiple destinations, ground transport and accommodation. You’ll work with customers to understand their requirements, prepare quotations and coordinate the details that bring each booking together.
Behind every charter sits an aircraft, a pilot and an operational schedule. You’ll work closely with Flight Operations to confirm availability and operational requirements, ensuring bookings are accurately planned and coordinated.
Reporting to the Reservations Manager, you’ll be part of a growing Reservations team supporting our aviation and tourism operations across Australia. While custom charter is your primary focus, you’ll also develop knowledge of our scenic flights, tours and tourism packages, providing additional support to the Customer Service team when required.
This is a reservations focused role, ideal for someone who enjoys managing the details behind the experience rather than working primarily in a passenger facing hosting position.
What You’ll Do:
- Manage custom charter enquiries and bookings across our helicopter and fixed-wing fleet, including corporate, private, event and regional charter.
- Understand customer requirements and develop tailored flight arrangements, considering destinations, passenger numbers, schedules and special requests.
- Prepare accurate quotations, follow up enquiries and convert interest into confirmed bookings.
- Work closely with Flight Operations to confirm aircraft and pilot availability and coordinate operational requirements.
- Arrange tailored itineraries and coordinate with external providers, including transport, accommodation, venues and catering partners.
- Manage booking confirmations, amendments, cancellations, payments and customer correspondence.
- Prepare passenger manifests, itineraries and booking documentation for pilots and operational teams.
- Maintain accurate customer information and reservations records, ensuring every booking is properly documented and coordinated.
- Support the Reservations Manager with booking administration, complex charter arrangements and daily reservations activities.
- Assist the Customer Service team with tourism enquiries and bookings during busy periods, helping deliver a consistent customer experience across the Group.
What You’ll Bring:
Essential
- Demonstrated experience managing reservations, quotations or tailored bookings, ideally within a travel agency, airline reservations team, tour operator or similar environment.
- Exceptional customer service skills, with the ability to understand customer requirements, build rapport and deliver professional, personalised service.
- A confident phone manner and excellent written communication skills, with the ability to prepare clear quotations and communicate effectively with customers and suppliers.
- Strong organisational skills and attention to detail, with the ability to coordinate multiple bookings and competing priorities without losing sight of the finer details.
- Experience using booking or reservations systems, proficiency in Microsoft Office and confidence learning new platforms.
- A practical, solutions focused approach, with the ability to adapt when customer requirements or operational arrangements change.
- The ability to work independently while collaborating closely with colleagues and operational teams.
- Australian citizenship or permanent residency.
Highly Desirable
- Experience preparing custom charter quotations, tailored travel itineraries or complex group bookings.
- Familiarity with aviation, aircraft charter or premium travel arrangements.
- Experience coordinating bookings involving multiple suppliers, destinations or services.
- A genuine interest in aviation and tourism.
What We Offer:
Get in the air – properly.
Familiarisation flights, so you know our products from the passenger seat and not just the booking screen. Discounted flights to enjoy with family and friends. And seats on empty leg flights to and from the city when they come up.
A workplace that’s anything but ordinary.
Based at our Moorabbin Airport head office, you’ll work alongside the people who keep our aircraft flying. From helicopter charters to regional fixed-wing operations, you’ll be part of an aviation business where every day brings something different.
Work that visibly matters.
Working with a close-knit team, your contribution won’t get lost in a crowd. You’ll take ownership of bookings, solve problems and see the results of your work when a carefully planned charter takes flight.
Genuine progression.
Internal training and development, and real opportunity to advance as we grow. Our current Director of Engagement & Communications started at our reception desk.
A team that looks after each other.
A confidential Employee Assistance Program, and a leadership team that treats wellbeing and work life balance as more than a line in an ad.
A company investing in the future.
We’re pioneering sustainable aviation practices and exploring advanced air mobility. There’s a lot still to build here.
