Description

The Client Services Coordinator (CSC) is responsible for the coordination and administration that helps the Directors and Managers of LP successfully deliver client outcomes. 

Working closely with Managers, accountants and the Client Services team, this role ensures work progresses efficiently, deadlines remain visible and client-related administration is completed accurately and on time.  

Success in this role is achieved through strong workflow discipline, proactive communication, effective coordination of activities and a focus on client service outcomes. In doing so, the CSC helps create a responsive and professional client experience that supports clients to make better and more timely decisions. 

The Role:

Workflow management

  • Coordinate workflow priorities and client administration requirements with Managers.
  • Monitor outstanding client work, documentation, approvals and correspondence.
  • Identify and escalate workflow delays, risks and bottlenecks.

Lodgement coordination

  • Support achievement of lodgement and compliance deadlines through proactive follow-up.
  • Monitor work-at-risk and facilitate timely completion.

Operational coordination

  • Assist with workflow reporting and operational information.
  • Support operational processes, systems and procedures.
  • Maintain workflow data, practice management systems and client records.

Process improvement

  • Identify opportunities to improve workflow efficiency and client service delivery.
  • Contribute to procedures, templates and standard operating processes.
  • Support operational and system improvements.

Client experience

  • Coordinate client administration and service-related matters.
  • Deliver a responsive, professional and consistent client experience.
  • Ensure timely resolution of client enquiries and requests.
  • Promote a client-focused approach in all interactions.

Client communications

  • Build positive relationships with clients and internal stakeholders.
  • Support Managers in delivering exceptional client service.
  • Act as a key coordination point for client administration and workflow matters.

Client onboarding and administration

  • Coordinate client onboarding, engagement administration and related requirements.
  • Maintain accurate client records across business systems.
  • Support onboarding, ongoing maintenance and offboarding activities.
  • Monitor administrative activities to ensure timely progress.

Compliance administration

  • Coordinate ATO, ASIC and corporate compliance administration.
  • Monitor registrations, lodgements, correspondence and related activities.
  • Escalate issues that may impact compliance, service standards or client outcomes.

 Experience: 

  1. Minimum 5 years’ experience in a client service, administration or practice support role. 
  2. Experience within a public practice accounting firm highly desirable. 
  3. Experience within another professional services environment with structured compliance, documentation and client service requirements (such as legal, financial services, consulting or similar) will also be considered. 
  4. Demonstrated experience coordinating workflow, deadlines and service delivery activities. 
  5. Demonstrated experience managing multiple stakeholders and competing priorities. 
  6. Experience supporting regulated or compliance-driven environments highly desirable.
