Summary:

The Administration Assistant plays a crucial role in supporting the daily operations of our office in Perth, Western Australia. This permanent, full-time position is essential for ensuring efficient administrative processes, facilitating communication, and providing organisational support to various departments. The ideal candidate will contribute to a positive work environment and help maintain the high standards of our organisation.

Responsibilities:

  • Greeting and welcoming visitors, clients and vendors to the office.
  • Assist in travel arrangements for staff.
  • Coordinating building repairs and maintenance including equipment (R&M).
  • Prepare and distribute reports, presentations, and other documents as required.
  • Maintain office supplies and inventory, ensuring all necessary materials are available.
  • Provide support in the coordination of events and meetings, including logistics and catering.
  • Respond to inquiries and provide information to clients and staff in a professional manner.
  • Assist with data entry and maintain accurate records in various databases.

Experience:

  • Working knowledge of, or ability to quickly learn, HR and business systems such as Employment Hero (onboarding)
  • Experience using travel and accommodation booking platforms is desirable.
  • Ability to maintain accurate registers and records (visitor, access, PPE, safety checks and travel) with strong attention to detail and confidentiality.

Qualifications:

  • Proven experience in an administrative, preferably in a similar industry.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and a high level of accuracy in work.
  • Ability to work independently as well as part of a team.
  • A proactive approach to problem-solving and a willingness to learn.
