Auckland International Campus (AIC), in partnership with Future Skills Academy, is one of the highest quality tertiary education providers in New Zealand.

We are searching for a Marketing Executive Assistant to join our International Marketing Department. You will play a crucial role in the smooth functioning of the international marketing division, requiring a proactive approach, excellent organizational skills, and the ability to multitask effectively. This position demands a high level of confidentiality, discretion, attention to detail, and the ability to work collaboratively with a diverse range of stakeholders.

This position is a Full-time, Permanent role based at our Auckland International Campus in the Auckland, CBD.

Your responsibilities will include the following:

  • Support the Sales and Marketing Director with coordinating meetings, managing schedules, meeting minutes/agendas, handling correspondences and other marketing materials.
  • Be the primary point of contact and communication bridge within the international marketing team. Responding to email and phone enquiries from internal and external marketing agencies.
  • Managing the whole process from issuing agency agreements through to completion.
  • Prepare comprehensive reports including coordinating with the marketing team and wider departments to collect and gather information required for reports.
  • Coordinate and manage the logistics of agent visits to international campuses, arranging meetings, welcoming guests, ordering catering and overseeing the visits itinerary.

To be successful in this role, we are looking for someone with the following skills and/or experience:

  • Experience as an Executive assistant or similar role.
  • Related experience providing complex administrative support in a high-profile environment.
  • Excellent interpersonal, communication and negotiation skills with the ability to develop and maintain networks and contacts and relate to a diverse range of customers and stakeholders.
  • Proficient computer skills and in-depth knowledge of multiple technical applications including MS Office suite, database management, presentation software, Office 365, and latest reporting technology.
  • Intermediate level in Microsoft Excel.
  • Able to work independently, use initiative, maintain a proactive attitude and be solution orientated.
  • Excellent organisational, planning, and time-management skills, including the ability to prioritise workload, manage tight deadlines and work cohesively with wider team to gather information.
