About the role
We are looking for a dynamic yet down-to-earth Contract Administrator (Facilities) to join our Auckland-based team. If you enjoy making a difference to your environment, then this is your
dream job. This role will be part of a team maintaining our clients’ green spaces and/or street environments

Customer Service: Build and maintain strong relationships, delivering excellent
Service to both internal teams and external clients.

Data Entry: Keep multiple databases accurate and up to date, including but
not limited to ensuring jobs are tracked through to completion, and asset management systems are up to date.

Subcontractor Coordination: Manage subcontractor databases, prioritise tasks, and allocate
workloads.

Reporting: Analyse data and create monthly reports for management.

Financial Support: Handle monthly invoicing, raise purchase orders, and meet
reporting deadlines.

Operational Support: Provide high-level administrative support to the Operations
Manager, Team Leaders, and the wider team.
About you
The successful person will have:
- Minimum of five years’ experience in an admin role, ideally within Facilities Management
- Good working knowledge of MS Office (Word, Excel, Outlook).
- Experience with job allocation and asset management tools, such as Maintain X and Maximo, is highly beneficial.
- Highly organised with good communication skills.
- Able to get on with others and relate to a broad range of people.

- Hours of work will be 8.00 am to 4.30 pm (flexible), Monday to Friday, with free on-site car parking.
