Most front-of-house roles ask you to answer phones and check people in. Most treatment coordinator roles keep you behind the scenes, chasing paperwork. This role is neither on its own — it’s both, on purpose.
We’re growing from 4 chairs to 7, and the gap that’s opening up isn’t “we need more reception cover.” It’s that nobody currently owns the whole patient journey — from the first hello at the desk, through to making sure a treatment plan a dentist recommends actually gets scheduled, followed up, and completed. We want one person who can own the journey and work with the team to ensure its seamless.

About the Role
As Ocean Keys scales up, patient volume and treatment complexity are both increasing — which means more bookings, more recalls, and more treatment plans that need someone actively following through on them, not just filing them away. Right now that follow-through sits with whoever has a spare five minutes. We want to fix that by bringing in someone to own it properly.
This is a coordination role first, a reception role second though on any given day you’ll do both. You’ll be the first face and voice patients meet, and you’ll also be the person making sure a treatment plan doesn’t quietly stall between the consult room and the calendar.

What You’ll Actually Do
- Be the person that schedules and coordinates treatment and explains the logistics to a patient and make it a genuinely good experience, not just an efficient one
- Manage bookings, recalls and day-to-day scheduling, with an eye on keeping the growing chair count fully utilised
- Take ownership of treatment plan follow-through: making sure patients understand what’s been recommended, get it scheduled, and don’t fall through the cracks between appointments
- Liaise between dentists and patients on treatment sequencing and next steps, translating clinical recommendations into a clear plan patients feel confident acting on
- Track and report on the numbers that matter — booking conversion, recall return rates, treatment follow-through — as the practice’s capacity grows
- Keep the front desk running smoothly day to day, including the general admin and multitasking that comes with a busy, growing practice which may be at times supporting the receptionist.
Who We’re Looking For
- Experience in a dental or healthcare front office, treatment coordination, or patient relationship role (dental experience is a must in this role to succeed)
- Confident having conversations with patients about treatment plans, costs and next steps — this isn’t just scheduling, it’s building trust
- Genuinely organised, and someone who enjoys juggling competing priorities rather than being thrown by them
- Understand the ethics of planning a day for a goal rather than pushing patients for something they dont need
- Praktika experience is a bonus — full training provided if you haven’t used it
- Comfortable working full-time or part-time; happy to discuss what fits
- Someone who is happy to be one of the 2IC’s to the Practice Manager
