Summary:

The Event Planner in the Hospitality and Tourism industry is responsible for executing successful events, conferences, and meetings for clients in different sectors. They work with clients to determine their event needs, establish budgets, and develop event timelines. The Event Planner is also responsible for sourcing and managing vendors and external partners, coordinating logistics, and tracking event performance.

Responsibilities:

  • Meet clients to determine their event goals, objectives, and preferred outcomes.
  • Develop and manage project timelines.
  • Create budgets and timelines for events and oversee overall event cost.
  • Source for and negotiate vendor contracts for venues, catering, equipment rentals, etc.
  • Liaise with other stakeholders such as event staff, sponsors, and entertainers to ensure smooth events.
  • Design and execute event marketing plans including social media, invitation designs, and other promotional tools.
  • Coordinate logistics including transportation, staffing, and accommodation.
  • Actively market an ongoing business to generate new client leads and maintain relationships with existing clients.
  • Work with cross-functional teams to manage and execute events in line with brand and operational standards.

Qualifications:

  • A Bachelor’s degree in Hospitality and Tourism, Marketing, or related field.
  • Strong interpersonal, communication, negotiation, and organization skills.
  • Ability to multitask, work under pressure, and prioritize tasks to achieve deadlines.
  • Attention to detail and creativity in developing event themes and designs.
  • Strong logistical and operations planning abilities.
  • Comfortable with digital technology including marketing tools, email marketing software, MS Office, and cloud-based project management tools.
  • Experience in hospitality and tourism industry with the ability to navigate across cultures and regions is an added advantage.
  • Ability to work independently and collaboratively while keeping team goals in focus.
