Bundanon is an art museum embedded in a 1,000 hectare landscape, in the Shoalhaven region of NSW. The organisation’s mission is to operate the Bundanon properties as a centre for creative arts and education, to support the development of arts practice across all disciplines and to enable public access to the arts and to the landscape. ABOUT THE ROLE
The Live Programs Manager coordinates, develops and delivers Bundanon’s public and live programs, ensuring events are well planned and executed to a high standard. The role has two direct reports and combines hands-on delivery with responsibility for budget management, team supervision, programming logistics and event communications. Working closely with the CEO on programming direction, the position translates ideas into clear plans, supports stakeholder coordination and maintains organised systems for effective program delivery. This is a 12 month fixed term opportunity starting in January 2027.
WHAT YOU WILL DO
Programming & Live Events
- Coordinate, develop and deliver public and live programs and events including performances, talks, workshops, openings, festivals, markets and related offerings.
- Contribute to the creative development of programs and events by offering ideas, feedback and practical considerations in close collaboration with the CEO.
- Develop the timelines, schedules and implementation plans required to deliver programs effectively.
- Managing the seamless execution of live events, ensuring operational excellence.
Programming Logistics
- Coordinate and manage the logistical requirements for all live programs and events, including schedules, contracts, bookings, technical needs and onsite arrangements.
- Develop and maintain clear systems for program documentation, timelines, run sheets and operational information to support organised and consistent delivery.
- Work collaboratively with internal teams to ensure logistical requirements are understood early and that all operational details are prepared in advance.
Event Communications
- Provide clear and timely program information, updates and content to support Marketing and other internal teams.
- Prepare signage, marketing content, programs and other collateral as needed.
- Ensure all programming details, deadlines and changes are communicated accurately to maintain alignment across teams.
- Support audience engagement and evaluation by sharing program insights and organising feedback when required.
Stakeholder Management
- Coordinate communication and logistics with artists, presenters and partners to ensure expectations, requirements and event details are clearly understood.
- Represent the team in internal planning meetings, sharing program updates and operational needs.
- Resolve day-to-day issues directly with stakeholders and escalate matters where needed.
- Manage multiple projects concurrently.
Budget Management & Reporting
- Manage the budget for Live Programs, ensuring funds are used effectively and in line with program requirements.
- Support organisation-wide reporting needs, including inputs for the Corporate Plan and other internal reporting cycles.
- Keep program expenditure organised and up to date, maintaining clear and accurate records.
- Work in close collaboration with, and under the direction of, the CEO on budget planning and financial decisions.
Team Supervision & Development
- Provide day-to-day management and support to the team.
- Communicate clear goals and objectives for the team to ensure everyone understands their roles and responsibilities.
- Manage rostering and resource planning to ensure the team is appropriately staffed for program and event delivery.
- Manage the financial and staffing resources for the team, ensuring efficient allocation and accountability.
- Assist the team in prioritising workflow, developing processes, and maintaining quality control.
- Ensure a seamless induction experience for new staff members.
- Manage WHS compliance for the department.
SELECTION CRITERIA
- Demonstrated experience developing and delivering live programs, events or public programs within an arts, cultural or creative environment.
- Demonstrated ability to contribute to the creative development of engaging arts and cultural live programs.
- Strong program and event management skills, including planning, logistics and onsite delivery.
- Demonstrated experience managing program budgets and resources.
- Experience leading and supporting a team to deliver high-quality programs.
- Strong communication and collaboration skills, balancing creative and operational needs.
