The Role :
As part of the Business Development & Marketing team, the Bid Coordinator is responsible for supporting the bid process from initial inquiry to submission, ensuring deadlines are met. This includes compiling and formatting bid documents, such as tender submissions, capability statements, presentations and supporting collateral (project sheets, resumes etc). Additionally, this role assists in maintaining a database of current and past bids, template material, panel submissions, client information and feedback to improve future submissions. Working creatively and confidently in InDesign is paramount.
The Bid Coordinator supports the firm’s business development strategies when required, creating dynamic marketing materials aligned to brand standards, supporting innovative business development campaigns, key events and beyond.
This position works closely with Bid Coordinators, Business Development Team, Principals, and Shared Services to ensure that all submissions are comprehensive, competitive and align with Buchan’s strategic goals.
Key Responsibilities:
- Coordinate and produce tender submissions, capability statements, presentations and supporting a range of marketing collateral as part of the Bid Team in order to help win business opportunities;
- Brand/Promotions support – contribute to brand, awards, publications, promotional materials, bid & marketing collateral
- Coordinate and support client outreach, B2B events and meet and greet activities for consultants and other industry partners as required.
Qualifications:
- 5+ years’ experience in an equivalent role
- Experience in preparing tenders, proposals and submissions, presentations, and other marketing collateral
- Strong written and verbal communication skills
- Attention to detail
- Must be an expert/very experienced user of : InDesign and Photoshop
- Must be proficient using: Microsoft 365
Desirable but not essential:
- Experience working in Deltek Vantagepoint, Illustrator, Digital Asset Management (DAM) systems
- Prior experience in the Design / Architectural or related industry
- Graphic design skills
