About this role

You will join our Operations department full-time, reporting to the General Manager – Operations, while providing essential support to the supporting the broader business to ensure the smooth running of the office and efficient workflow.

This role requires excellent communication skills, a proactive approach, and the ability to handle multiple tasks simultaneously. The Administration Assistant will play a crucial role in maintaining a productive and professional work environment.

Your key responsibilities will include:  

• Welcoming visitors to our building in a professional manner

• Handle incoming calls and inquiries, providing accurate information and redirecting as necessary.

• Perform general administrative tasks and maintaining records.

• Assist in organising and coordinating meetings and events, including daily meeting room preparation, catering orders etc

• Maintaining a tidy office, reporting and coordinating maintenance for office issues

• Prepare and distribute internal communications as required

• Maintain office supplies inventory and place orders when needed including stationery and kitchen supplies

• Processing mail and deliveries

• Support various departments including Finance and People and Culture with administrative tasks as required

• Collaborate with other team members to ensure efficient workflow and timely completion of projects.

• Uphold confidentiality and handle sensitive information with discretion.

To be successful, you will need:

• 1+ years experience in a similar role ideally within a professional services environment

• Exceptional customer service skills

• Strong attention to attention to detail and accuracy

• Excellent time management skills

• A motivated can-do attitude and strong sense of initiative with the ability to work independently

• Strong verbal and written communication skills

• Strong computer literacy with experience using Microsoft Outlook, Excel, & Word.

• Experience using software such as Asana and Slack is highly desirable but not essential
